We are seeking an experienced Contracts Administrator to join our team on a Class 2 residential apartment project in Marsden Park, NSW. The project is already substantially progressed, and the successful candidate will play a key role in taking over existing trade packages, managing remaining works and subcontractors, controlling project costs, and supporting the project through completion, commissioning and handover.
Key Roles & Responsibilities
- Administer head contract and subcontract obligations throughout the remaining construction period.
- Review the existing project status, previous builder documentation, outstanding works, defects, variations and subcontractor packages.
- Assist with the transition/takeover of existing subcontractors and negotiate new or replacement subcontract packages where required.
- Prepare, issue and administer subcontract agreements, purchase orders, scopes of work and trade packages.
- Ensure subcontract scopes are complete and minimise scope gaps between trades.
- Assess subcontractor progress claims, variations, extensions of time and final accounts.
- Prepare and maintain variation, procurement, subcontract, RFI and cost registers.
- Prepare monthly progress claims and supporting documentation for submission to the Principal/Superintendent/lender.
- Maintain accurate cost-to-complete, committed-cost and project cash-flow reporting.
- Obtain and analyse subcontractor quotations and conduct tender comparisons and recommendations.
- Monitor project expenditure against budgets and immediately identify potential cost overruns.
- Maintain the project's open-book cost records, including invoices, purchase orders, receipts and supporting documentation.
- Work closely with the Project Manager, Site Manager, consultants, Superintendent and lender representatives.
- Manage contractual notices and correspondence, including variations, EOTs, delays,
directions and potential claims within required contractual timeframes.
- Ensure verbal instructions with cost/time implications are properly documented and converted into formal written instructions/variations where required.
- Assist with administration of Design and Building Practitioners Act requirements applicable to the Class 2 project, including coordination of required design/compliance documentation.
- Coordinate consultants, engineers and subcontractors to obtain certifications, inspections, test results, warranties and compliance documentation.
- Maintain documentation required for occupation, commissioning and project handover.
- Assist in managing defects, incomplete works and rectification works, including clearly distinguishing pre-existing works/defects from new works.
- Maintain comprehensive records identifying work completed before and after the builder's takeover.
- Assist with preparation of contractual reports, project forecasts and commercial reporting.
- Manage subcontractor insurances, licences, statutory declarations and other required compliance documentation.
- Assist with practical completion, final accounts, defects liability administration and project close-out.
Ideal Candidate Degree or qualification in Construction Management, Quantity Surveying, Building or a related discipline is preferred, together with previous CA experience on Class 2 residential/apartment construction projects in NSW. The candidate should have robust knowledge of subcontract administration, progress claims, variations, procurement, cost reporting and contractual notices. Experience taking over a partially completed or distressed construction project would be highly regarded.
Strong knowledge of AS 4000-style contracts, NSW Security of Payment requirements and Class 2 regulatory/documentation requirements would also be highly regarded.
Pay: $105,950.39 – $135,000.00 per year
