ABOUT THE ROLE The Executive Assistant & Research Operations Administrator provides high-quality administrative, operational, and project support to enable the effective functioning of the Institute’s research portfolio. The role provides dedicated executive support to the Chief Technology Officer (CTO), including diary and meeting management, coordination of priorities, preparation of correspondence and documentation, and support for key Research activities. The position also provides administrative and coordination support across Research Operations, working closely with the Head of Research Operations and other members of the Research Operations team to support effective planning, communication, governance and delivery of Research activities.

Operating with a high degree of discretion, organisation and initiative, the role acts as an key coordination point across the Research function and between Research and other business units of the Institute.

KEY RESPONSIBILITIES

- Provide high-level executive support to the CTO, including diary, correspondence, meetings, travel and workflow coordination.
- Anticipate priorities,



manage competing demands and ensure key actions, deadlines and deliverables stay on track.
- Prepare and coordinate high-quality briefs, reports, presentations and meeting documentation, including minutes and action registers.
- Support the Research Operations team with committee secretariat, meetings, events, forums and day-to-day administration.
- Coordinate procurement, invoices, purchase orders, expenses and other routine financial administration.
- Maintain accurate records, documentation, data and information resources in line with Institute policies and governance requirements.
- Coordinate Research workforce administration, honorary appointments, visitor arrangements and IT access as required.
- Build strong relationships across the Institute, enabling effective communication, collaboration and seamless coordination across teams.

ABOUT YOU

- Minimum 5 years’ professional administration experience, including experience in an Executive or Personal Assistant capacity.
- Excellent organisational and time management skills, with the ability to manage competing priorities and deadlines with accuracy and attention to detail.
- Proven ability to manage workflows, records and administrative systems, ensuring operational efficiency, accuracy and compliance with governance requirements.
- Demonstrated experience preparing high-quality correspondence, reports, agendas and minutes, with a high level of accuracy and confidentiality.
- Reliable, professional and discreet, with a positive can-do attitude. Bonus points for: a love of baking/eating, doing the daily quiz,



or previous experience in scientific research.
