The Department of Health, Disability and Ageing (the department) are seeking to fill various APS4 and APS5 Executive Assistant vacancies across the department.

Executive

Assistants provide high-level administrative support to Senior Executive Service (SES Band 1 or SES Band 2) officers enabling them to effectively carry out their duties. Your support will include providing critical administrative, secretariat, and logistics support to help drive the success of the day-to-day operations of the branch/division and the broader goals of the Department.

Executive Assistants at the department are highly valued employees and are required to work with a high level of integrity, confidentiality and adaptability to shifting priorities. You will have the prospect to work closely with your divisional SES, as well as being supported by the other Executive Assistants and Executive Officer cohort within your group.

Our current Executive Assistant opportunities are predominantly at the APS4 level, with a limited number of APS5 positions also available. Successful candidates will be placed in a merit pool at the APS level/s for which they have been assessed suitable for, that will remain active for 18 months. When similar vacancies arise candidates in the merit pool may be contacted about the role and asked if they wish to be considered.

APS4 Executive Assistant

As an APS4 Executive Assistant, you will provide high level administrative support to one or more Assistant Secretaries (SES Band 1) who lead Branch’s within DHDA.

This support generally includes, but is not limited to:

- First point of contact for internal and external enquiries and coordinate SES office activities.
- Manage calendars, inboxes, correspondence, workflows and travel arrangements.
- Coordinate meetings, events and briefings, including agendas, papers, venues and logistics.
- Provide administrative and secretariat support, including procurement, accounts processing and records management.
- Work collaboratively with your Executive, other Executive Assistants and stakeholders.
- Handle sensitive information professionally and contribute to continuous improvement and a positive workplace culture.

To work at the APS4 level,



you may have developed these skills in positions such as a receptionist, office manager or customer service representative.

APS5 Executive Assistant

As an APS5 Executive Assistant, you will provide complex administrative support to a First Assistant Secretary (SES Band 2) who leads a Division and potentially one or more Assistant Secretaries (SES Band 1).

The duties of an APS5 Executive Assistant generally include the duties for the APS4 in the above description, as well as:

- Coordinate and oversee executive support services across the division, including supporting and guiding other Executive Assistants.
- Work collaboratively with your Executive and Executive Officer to coordinate divisional business, manage competing priorities and support the achievement of divisional objectives. Contributing to the development of work plans, including establishing priorities and monitoring progress.
- Initiating advice and responding to requests for meetings, information or briefings.
- Providing guidance and support on a range of strategic coordination and support activities, based on the needs of the division.

To work at the APS5 level, you will have demonstrated experience as an Executive Assistant (or similar) in either the public or private sector in positions such as personal assistant, accounts administrator or legal secretary.

The disability affirmative measure allows a particular job in the Australian Public Service (APS) to be open only to people with disability. - letter from a secondary or tertiary institution disability services unit in relation to a recent student.

To be eligible for employment with the Department of Health, Disability and Ageing, applicants must be an Australian citizen at the time an offer of employment is made.

An applicant’s suitability for employment with Health will also be assessed through a variety of pre-employment check processes, such as:

- Satisfactory completion of a nationally coordinated criminal history check, and where relevant, a Working with Children and Vulnerable People Check,
- Completion of a medical declaration and pre-employment medical (where required),
- Providing evidence of qualifications (where required), and
- Obtaining and maintaining a security clearance at the required level.

For this role applicants must be able to obtain and maintain a Baseline security clearance or hold a current security clearance at an appropriate level.

- This recruitment process is being used to fill both ongoing and non-ongoing positions. Non-ongoing positions will be offered on a specified term basis for an initial period of up to 12 months with the possibility of being extended (this will not exceed a total of 24 months in the same or similar role).
