Prime Physiotherapy & Sports Injury Clinic is looking for an experienced, energetic and proactive Medical Receptionist / Practice Administrator to join our Hamilton clinic. We’re looking for someone who brings positive energy to the clinic — someone who naturally smiles, loves talking to people and makes patients feel genuinely welcome from the moment they walk through the door or call us.

You’ll also be highly organised, proactive and commercially aware — confident managing accounts, following up outstanding payments, keeping the diary productive and turning genuine enquiries into bookings through excellent communication.

What You’ll Do

You’ll take ownership of:

- Warmly greeting patients and creating an exceptional patient experience
- Answering calls with warmth, confidence and professionalism
- Managing recent patient enquiries and helping convert enquiries into bookings
- Booking, confirming, rescheduling and rebooking appointments
- Proactively managing cancellations and diary gaps
- Processing payments and private health claims
- Managing accounts receivable and following up outstanding invoices
- Medicare, WorkCover, DVA and NDIS administration
- Liaising with insurers, case managers and healthcare providers
- Managing emails, referrals and patient documentation
- Encouraging patient feedback and reviews
- Assisting with patient communication and clinic marketing
- Supporting our physiotherapists and administration team

Accounts experience is particularly important. We’re looking for someone who takes ownership of outstanding accounts and follows them through to resolution.

Who We’re Looking For

Ideally, you’ll have:

- 2–3+ years’ medical or allied health reception experience
- A naturally warm,



engaging and enthusiastic personality
- A genuine love of interacting with patients and bringing positive energy to the workplace
- Outstanding telephone and face-to-face communication skills
- Strong accounts, billing and follow-up experience
- Experience with Cliniko or similar practice-management software
- Knowledge of Medicare, WorkCover, DVA, NDIS and/or private health
- Excellent organisation and attention to detail
- Confidence handling new patient enquiries
- Initiative, reliability and a strong work ethic
- A positive attitude and genuine team mentality
- The ability to take ownership and follow things through

Hours

Approximately 4–5 shifts per week, generally 4–8 hours per shift. Some flexibility for evenings and/or Saturdays is desirable.
