What this opportunity involves:

As a Facilities Assistant – Reception, you will be the welcoming face of our Canberra office, playing a pivotal role in creating exceptional experiences for clients and visitors alike. This dynamic position blends front-of-house hospitality with essential facilities coordination, ensuring every interaction reflects the professionalism and warmth that defines our workplace culture. You'll serve as the vital connection point between visitors, clients, and our facilities team, managing everything from guest greetings and inquiries to meeting room logistics and administrative support.

Working closely with the Facilities Manager, you'll help maintain the seamless daily operations that make our workplace function efficiently while contributing to special events and projects that enhance our office environment.

An overview of the role:





Serve as the first point of contact for all visitors and clients, delivering exceptional hospitality and creating positive first impressions that exceed expectations

Manage reception operations including greeting guests, handling diverse inquiries via phone and in person, coordinating mail and deliveries, and managing meeting room bookings

Build and nurture effective working relationships with clients, stakeholders, and team members across all organizational levels

Provide administrative support to the Facilities Manager on various initiatives, reports, process improvements, and manage the office ticketing system for day-to-day operational requests

Order and maintain accurate records of office supplies, support client event planning and execution, and liaise with Building Management to maintain positive working relationships

Sounds like you? This is what we are looking for:

Minimum two years of experience in reception, administration, hospitality, or facilities support roles with a demonstrated track record in client-facing positions

Strong written and verbal communication skills with the ability to interact professionally with individuals at all organizational levels

Exceptional attention to detail, commitment to quality service delivery, and self-motivated personality with the ability to take initiative and work independently

Ability to remain calm and effective when managing multiple priorities and handling stressful situations

Collaborative mindset with strong teamwork capabilities, and familiarity with facilities management systems or workplace management software (preferred)

Comfortable using everyday tech tools like Google Workspace (Gmail, Docs, Drive, Calendar, Gemini) and Microsoft Office
