Summary/Objective The Maintenance Systems & Planning Coordinator supports the safe, compliant and reliable operation of STACK’s mission-critical infrastructure by administering the Computerised Maintenance Management System (CMMS), coordinating maintenance schedules, and governing the change management workflow. This role chairs the weekly Change Advisory Board (CAB) to ensure disciplined process execution, while technical approvals remain with the ACOM and COM. The position ensures no conflicting maintenance activities occur across mechanical, electrical, controls and supporting systems and prevents excessive change stacking on the same day.

The Coordinator also administers the rotating shift roster, annual/sick leave entries, and relief coverage planning to maintain continuous staffing for 24/7 operations. This role directly contributes to STACK’s 100% uptime commitment and our expectation of concierge-level customer service.

About the Role

This is a coordination and planning role at the heart of STACK's Critical Operations function. You'll bring together maintenance schedules, change activities, CMMS data and staffing plans to help ensure the site operates safely, reliably and without unnecessary operational conflicts.

You'll work closely with Critical Operations leadership, engineering teams, facilities teams and vendors to keep the maintenance and change programme organised, visible and audit-ready.

Key Responsibilities

- Administer STACK's CMMS, maintaining accurate assets, PM schedules and work orders.
- Ensure maintenance plans are accurately reflected in the 52-week schedule.
- Track changes, deferrals, overdue actions and maintenance close-outs.
- Chair the weekly Change Advisory Board and maintain accurate records and actions.
- Maintain the Change Calendar,



applying freeze windows and identifying scheduling risks.
- Identify conflicts between maintenance and change activities across electrical, cooling and controls systems.
- Ensure change submissions contain required MOP/SOP/ITP, rollback, risk and communication documentation.
- Maintain the correct technical approval process, with ACOM and COM retaining approval authority.
- Link change records, assets, PM tasks and work orders to maintain full traceability.
- Coordinate vendor schedules and ensure required compliance documentation is complete.
- Produce regular reporting covering PPM compliance, overdue work, change volumes and CAB actions.
- Maintain audit-ready documentation for customer, regulatory and internal requirements.
- Administer shift rosters, leave entries and relief coverage to support 24/7 staffing.
- Support recent starters with CMMS, change management and roster processes.

What You'll Bring We're looking for someone highly organised and process-driven who enjoys bringing structure to complex operational environments. You don't need to come from a traditional engineering background; strong maintenance planning, CMMS and coordination capability are key.

Experience in a Mission Critical environment is valuable, including Data Centres, hospitals, utilities, transport or Defence.

You'll bring

- Experience administering CMMS/EAM systems and maintenance or change schedules.
- Strong understanding of asset structures, work orders and preventive maintenance.
- Excellent attention to detail and disciplined documentation practices.




- Experience with change management processes such as CAB, MOP/SOP/ITP and PIR.
- Strong scheduling and planning skills, with the ability to identify competing activities and conflicts.
- Confidence chairing structured meetings, recording actions and maintaining procedural standards.
- Strong communication skills across engineers, supervisors, vendors and operations leaders.
- Strong Excel capability for rosters, reporting and operational metrics.
- A process-driven approach focused on safety, compliance and availability.
- Understanding of rostering, Award considerations and staffing coverage for 24/7 operations.
- Exposure to electrical, mechanical, HVAC or controls systems is desirable.
- An engineering or trade background is preferred but not essential.
- Legal entitlement to work in Australia and the ability to satisfy applicable screening and Data Centre security requirements.

Work Environment This role is primarily Monday-Friday, with occasional extended hours during high-activity periods or major change windows.

You'll participate in operational readiness reviews, maintenance pre-briefs, CAB meetings and vendor coordination activities. Minimal travel is expected, although occasional travel between local STACK facilities may be required.
