We are seeking efficient, enthusiastic and motivated people, who can work well within a tight-knit and friendly team. We are looking to fill 2 positions at reception (one full time and one part time). The full time position is approx 25-38 hours per week. The part-time position is approx 28 hours per wk
We are a specialist dermatology clinic in South Melbourne and we aim to provide the highest level of care in our modern and 8 purpose built consulting/laser/cosmetic and surgical rooms for medical dermatology and cosmetic treatments. We are a team of dermatologists, medical practitioners, practice nurses and cosmetic nurses/dermal clinician.
If you have any experience in medical reception work, medical customer service and/or medical administration, that would be wonderful. However, the most important thing to us is a willing, “can do”, proactive attitude! If you don't have any experience, we will be happy to train you, we just need a willing participant. The position is to work along side our other front desk reception staff/Office Manager and doctors/nurses and to be a role model for other employees in providing high level customer service,
whilst maintaining key tasks relating to administration/reception work and the general day to day running of the clinic.
The role would include the following but would not be limited to :
- Managing the order of the appointment book and ensure that appointments are correct, with correct practitioner and time allowed
- Ensure confirmation of appointments are done in a timely manner and followed up
- Taking incoming phone calls and making external calls as required
- Ensure appointments are being billed correctly
- Billing and Batching of Medicare claims on a daily basis
- Rescheduling/cancelling appointments when required
- Following up / recalls of missed appointments
- Helping out with cleaning and general tidy up twice a day, after morning session and at end of day
- Helping out with general cleaning and tidy of doctors rooms and waiting rooms upstairs and downstairs
- Banking / Settlement at end of day
- Overseeing all incoming and outgoing correspondence including electronic mail and patient results
- Ordering administration supplies on line
- Continually updating proformas and procedures to reflect the changing needs of the clinic
- Managing flow of clinic mail including patient and doctor correspondence, bills, tax invoices etc.
- Sending out of invoices and following up on debtors
- Managing patients UVB schedules (under the guidance of the doctors)
- Going through surgery billings / procedures with patients as required ensuring they have a sound understanding of their procedures and the cost of such
- Calculating Medicare rebates and surgical billing rebates and fees in timely fashion and with accuracy
- Able to trouble shoot IT / Software issues to the best of your ability, so having wide extensive training / knowledge in all areas of Microsoft Word, Excel and thorough knowledge of the Genie software would be advantageous
- Medical typing/transcription as needs arise and when front desk is less busy
- Helping to manage cosmetic stock including injectables and skin care; processing orders and sales of cosmetic stock (both in-clinic and online via online shop)
- Helping with sterilising medical instruments as needs arise

- there is a 6 month probation period
