About the role The Medical Secretary plays a crucial role in ensuring a patient-focused experience at QCG's reception. This position is responsible for delivering comprehensive administrative support to the Cardiologist consultant and the team, ensuring efficiency and effectiveness. As the first point of contact for patients from arrival to departure, the Medical Secretary consistently provides excellent service, interacting warmly and helpfully with patients, colleagues, doctors, and stakeholders. This role includes offering personal secretarial services to the Primary Doctor and welcoming other doctors as needed.
The Medical
Secretary is integral to the smooth operation of the clinic, contributing to the satisfaction and happiness of patients and stakeholders alike.
Key responsibilities
- Provide all secretarial and administration support to the Cardiologist – answer incoming telephone calls, manage email accounts, manage post-appointment referrals/results, manage diaries for holidays/blocking clinics
- Make follow-up appointments, schedule testing and cancel/reschedule appointments
- Answer telephone queries from patients, internal departments and other hospitals, getting results/following up on all queries to ensure that the Cardiologist has the information required to care for the patient
- Maintain and organize diaries/appointment books for primary specialist Cardiologist, with optimum allocation of appointments and resources, ensuring doctor's time is highly utilised
- Coordinate and book medical diagnostic procedures to align with the doctors' schedules, ensuring optimal use of Doctor's theatre time
- Prepare the Doctor's room prior to their clinic commencing
- Display exemplary verbal and written communication to each patient at every point of contact
- Contact patients 24 hours prior to appointment to remind/confirm upcoming appointments and diagnostic procedures, to maximize attendance rates
- Ensure accurate record keeping and data entry of confidential patient information and make sure all documents, such as test results and referrals, are scanned and saved accurately to patient files
- Manage billing/receipting for medical encounters on the day of consultation/test and be accountable for collecting any GAP payments for diagnostic procedures
About you
- Certificate II or III in Health Support Services, or equivalent experience as a Medical Secretary (minimum 2 years)
- Excellent interpersonal skills with a positive and proactive approach
- Proven track record of being highly respected by leaders, peers, wider team, doctors, and patients
- Highly skilled and authentic with exemplary levels of trust, honesty, and integrity
- Courage to constructively work through matters of conflict as they arise
- Ability to pick up on situational cues and adjust in the moment
- Ability to relate comfortably with people across levels, functions, culture, and geography
- Ability to work cooperatively with others across the organization to achieve shared objectives
