Job Overview
We are seeking a motivated and proactive Facilities Coordinator to join our team.
Reporting to the Executive Manager Finance, this position is responsible for monitoring compliance and overseeing the maintenance of Mosaic's facilities and fleet, ensuring operations remain safe, efficient, and compliant with relevant regulations.
This role combines facilities coordination, contractor management, project support, process improvement, and asset administration.
You will work closely with internal stakeholders and external contractors to coordinate maintenance works, fleet activities, and continuous improvement initiatives.
The ideal candidate will be equally comfortable working behind a computer and out in the field.
You will be confident navigating IT systems,



maintaining accurate records, tracking maintenance activities, and reporting on key metrics, while also being willing to undertake minor maintenance tasks where appropriate.
This may include activities such as replacing light globes, installing fixtures, replacing appliances, undertaking minor repairs, and identifying and resolving general property maintenance issues.
What we're looking for
Experience in facilities management, property maintenance, or a similar role
Computer literacy with the ability to confidently navigate systems, maintain accurate records, produce reports, and manage asset and maintenance data.
A practical, hands-on approach and willingness to undertake minor maintenance tasks when required.
Strong stakeholder engagement and relationship management skills.
Ability to coordinate multiple priorities and projects while meeting deadlines.
Strong verbal and written communication skills.
Excellent organisational skills and attention to detail.
Strong problem-solving skills with the ability to identify issues, assess solutions, and take appropriate action.
A proactive mindset and willingness to roll up your sleeves to help maintain safe, functional, and welcoming environments for clients and employees.
Key Responsibilities of this role include but are not limited to
Coordinating maintenance and repair activities for Mosaic facilities and fleet
Managing relationships with contractors, vendors, and service providers.
Conducting regular inspections of properties and fleet assets to identify maintenance requirements
Supporting property improvement and renovation projects




Monitoring compliance with health, safety, environmental, and transport regulations
Coordinating insurance claims, repairs, fleet acquisitions, and disposals.
Maintaining accurate asset, maintenance, fleet, and contractor records and registers.
Assisting with the development and implementation of facilities and fleet management policies and procedures.
Tracking, analysing, and reporting on key operational metrics and improvement initiatives.
Supporting continuous improvement activities to enhance service delivery, efficiency, and compliance.
To be successful in this role, you will have
A certificate in asset management, business administration, or a trade-related field.
Experience in asset management, facilities management, or a similar role
Experience managing contractors and service providers.
Experience maintaining accurate records and registers
Well-developed time management, scheduling, and resource planning skills.
Strong interpersonal, negotiation, and conflict resolution skills
Knowledge of health, safety, environmental, or transportation compliance requirements would be highly regarded.
Experience within the disability services sector would be advantageous but is not essential.
