Finance Manager & Executive Assistant (Part-Time) n

About Us n
Jolson Architects and Interiors has built a distinctive body of work across bespoke residential architecture over 25 years. We're a small, close-knit studio - currently five staff working across two private residential projects and our own property development, with an emphasis on quality and craft over scale. Working directly alongside our Director, in a business focussed on producing quality work, with equal importance placed on running a thoughtful, well-organised studio.
About the Role n
This is an in-office role based at our Prahran studio, working closely with the team and playing a central role in the day-to-day running of the practice.
n
We're looking for someone who is as capable supporting a Director day-to-day as they are managing the books. This role has two equally important sides: being a highly organised, personable right hand to the Director and the studio - always two steps ahead - and being genuinely capable at bookkeeping and finance, not just comfortable with the basics.

You'll have real ownership of the role, with the scope to shape how things are done.
Key Responsibilities n
n
Manage accounts payable and credit card reconciliations
n
Manage accounts receivable and monthly project invoicing, WIP and project financial reporting
n
Process payroll, superannuation and statutory lodgements (payroll tax, Workcover, GST/PAYG)
n
Prepare BAS/IAS and liaise with our accountant
n
Maintain accurate financial records in Xero and reconcile all accounts
n
Prepare monthly financial and cash flow reports
n
Assist with budgeting and project profitability reporting
n
Supporting the Director n
n
Provide day-to-day executive and administrative support to the Director
n
Manage priorities, scheduling and follow-ups with minimal direction
n
Act as a trusted point of contact for staff, clients, consultants and suppliers
n
Office & People n
n
Oversee day-to-day office administration and smooth running of the studio
n
Provide administrative and operational support to senior staff as required
n
Support HR functions such as onboarding, leave records and policy administration, working alongside our external HR consultant
n
Coordinate with external providers (IT, insurance, telecoms)
n
Foster a positive, well-organised and supportive studio environment for a small team
n
A Bit More n
n
This role also includes bookkeeping for Dr Lisa Lefkovits' cardiology practice (approx. 2.5 hours/week) - liaise directly with Lisa, bank reconciliations, data entry, and BAS preparation.

About You n
n
Proven experience in
bookkeeping/finance,
and confident owning it end-to-end
n
Solid understanding of Australian compliance requirements (BAS, super, payroll)
n
Confident using Xero and Microsoft Office, Familiarity with Synergy or similar practice management software would be a plus, but is not essential.
n
Highly organised, personable, and genuinely enjoys being the person who keeps things running
n
Comfortable working autonomously and anticipating needs
n
Experience supporting a Director or senior leader is a strong plus
n
Great communication skills and a warm, can-do attitude
