The successful candidate will have strong supervisory or management experience, excellent organisational skills, and a solid understanding of warehouse, operations, production, or logistics environments. REQUIREMENTS:
- Minimum Matric / Grade 12 qualification.
- A qualification in Operations, Production, Logistics, or a related field will be highly advantageous.
- Fully bilingual in Afrikaans and English.
- Own reliable transport.
- Previous management or supervisory experience.
- Computer literate, with good proficiency in standard office applications.
- Previous experience with an ERP system will be highly advantageous.
DUTIES:
- Ensure that, at the end of each shift, all orders placed before 14:30 have been picked and handed over to Dispatch for checking.
- Ensure that picking operations are effectively managed and remain productive throughout the day, allowing orders placed after 14:30 to be picked for the following day where possible.
- Ensure that the back-order report is kept up to date by printing and reviewing the report at the end of each shift.
- Track, report, and resolve all picking and system errors or delays. Any discrepancies between physical stock and system records must be investigated and resolved promptly.
- Immediately report any transgressions, incidents, or errors to the General Manager.
- Ensure that staff adhere to all time and attendance requirements at all times. Staff may not leave the premises at the end of a shift if picking activities are incomplete.
- Maintain accurate daily records and reconcile all picking slips to ensure that no picking slips require unnecessary reprinting.
- Liaise with the Dispatch department regarding any foreseeable delays or operational issues.
- Restrict access to the Whole Goods and Finished Goods warehouses to authorized personnel only, including controlling access by sales representatives, customers, and members of the public.
- Ensure that all warehouse entrances are locked when not in use and that stock remains secure at all times.
- Manage the use of warehouse forklifts,
ensuring that they are operated correctly and serviced and maintained according to schedule.
- Manage pallets on a daily basis and ensure that stock on pooled pallets is repacked appropriately and that pallets are returned or allocated for dispatch as required.
- Ensure that all incoming stock is packed away promptly and that no stock remains on the warehouse floor for longer than 48 hours after receipt.
- Maintain a clean, neat, safe, and orderly warehouse at all times, including clean floors and racking, with no products left in aisles where suitable racking space is available.
- Ensure that stock is consistently managed according to the FIFO (First In, First Out) principle.
- Ensure that all stock is managed in accordance with current systems, procedures, and good warehousing practices, including stock recovery, samples, stacking, and related processes.
- Effectively manage temporary, casual, and container staff on a daily basis, ensuring maximum productivity and minimizing inefficiencies.
- Manage the waste management process and ensure that resources are used efficiently and in a controlled manner.
- Take full responsibility for the yard and all activities taking place within it, ensuring that the yard is maintained in good condition and that perimeter security is upheld at all times.
- Ensure compliance with all applicable food safety management systems, quality standards, policies, and procedures.
- Ensure compliance with all applicable occupational health and safety regulations.
- Ensure that all warehouse staff comply with housekeeping and workplace standards.
- Complete all required food safety and operational documentation before the end of each working day.
- Attend food safety inspections, committee meetings, operational meetings, and other relevant meetings as required, ensuring that all resulting actions are completed and signed off timeously.
- Adhere to all applicable food safety requirements and immediately report any food safety violations to the relevant manager.
- Perform any other duties assigned to the Warehouse Manager as required by operational needs.
- Notify the relevant purchasing and production personnel as soon as stock levels become critically low or expected stock has not been received.
- Manage, train, and develop warehouse staff on all applicable company policies, procedures, and operational requirements.
- Drive continuous improvement across all aspects of the warehouse function.
- Maintain accurate attendance registers and ensure that all relevant leave and overtime documentation is completed.
- Manage warehouse staff effectively to achieve maximum productivity and operational efficiency.
- Maintain the warehouse in a stock-take-ready condition at all times.
- Plan, coordinate, and manage all stock takes in their entirety, as well as cycle counts between stock takes, including accurate reconciliations, variance investigations, and reporting.
- Ensure that an appropriate number of cycle counts are completed daily, allowing all stock to be counted within the required cycle.
- Review and authorize stock adjustments, ensuring that all adjustments are properly verified and supported.
- Review and authorize credit notes and ensure that returned physical stock is accurately processed and returned to the warehouse within the required timeframe.
- Attend to employee relations and disciplinary matters and ensure that appropriate discipline is maintained in accordance with company procedures.
- Ensure that all warehouse staff adhere to applicable company policies, procedures, and standards.
- Maintain complete and auditable records throughout all warehousing processes.
- Ensure compliance with the Occupational Health and Safety Act (OHS Act) and all applicable regulations.
- Perform ad hoc duties in other departments when required to meet operational requirements.
- Prepare and maintain daily and monthly operational reports as required.
- Provide accurate and timely information to the General Manager and other senior management when required.
- Assist with the training and development of warehouse personnel.
- Communicate regularly with internal and external customers regarding picking, receiving, and order-related activities.
- Manage costs within the Warehouse Manager's area of responsibility and ensure that sufficient resources are available to support operational requirements.
- Assist with investigations into delivery failures, picking errors, credits, and other operational discrepancies.
- Liaise with relevant departments and customers regarding order status and expected delivery times.
- Maintain a strong customer-service focus and ensure that customer requirements are addressed professionally and efficiently.
- Perform any other reasonable duties as required to support the operational needs of the business.
