A bit about us:
Creating a great workplace culture and supporting our team are some of our top priorities. Our reception team includes 1 receptionist at Mount Pleasant and 1-2 receptionists at Canning Vale, led by our ever organised and super supportive Administration Coordinator, Kendall. One of our wonderful receptionists is getting ready to step into parental leave and we’re looking for another superstar to support our team and clients during her extended leave.
We have 2 busy locations – Canning Vale and Mount Pleasant, with the current chance at Canning Vale (occasional relief cover at Mount Pleasant may be required). Working proactively with a high degree of attention to detail and professionalism is essential. We work with people of various ages, neurotypes, and backgrounds and you must be able to interact with warmth, empathy, and confidence. We are an inclusive and neurodiverse team, and we work with many neurodivergent clients and their families.
Whilst you’ll often work alongside another receptionist at the front desk, there will be times when you are flying solo (once you’ve been shown how!). Our reception team is essential to the success and smooth running of our practice, and we appreciate the wonderful care they provide to clients and our team of 18 mental health practitioners.
You’ll love being part of our team if you’re someone who enjoys providing awesome service and takes personal responsibility for achieving results. We are especially keen to hear from you if you’ve had prior work experience in a busy private psychology or allied health practice, or medical clinic.
The full time role is a temporary parental leave replacement contract, based at our Canning Vale location, Monday to Friday, from November 2026 to June 2027.

Responsibilities of the role:
- Welcoming clients: Greet clients warmly and ensure they feel comfortable and valued from the moment they arrive.
- Answering phone calls and responding to emails: Handle incoming phone calls with professionalism and friendliness, ensuring that clients feel heard and understood. Respond to emails promptly and courteously.
- Scheduling client appointments for therapy and assessments: Efficiently manage the appointment calendar, ensuring that clients are scheduled in a timely manner and we’re helping as many people as possible each week.
- Liaising with referrers, GPs, employers, insurers, and other parties: Communicate effectively with various stakeholders to coordinate client care and services.
- Using practice management software to maintain client records:
Keep accurate and up-to-date records of client interactions and appointments.
- Processing client payments and rebates: Handle financial transactions with accuracy and confidentiality.
- Maintaining client confidentiality: Ensure that all client information is kept secure and private.
- Providing administrative support for our clinical team: Assist the clinical team with various administrative tasks to ensure smooth operations.
- Contribute to the ongoing improvement of our processes and systems: Offer suggestions for improving office procedures and workflows.
- Maintaining the tidiness and ambience of our beautiful workplace: Ensure that the reception/waiting area is clean, welcoming, and reflects our commitment to client care.
Essential Selection Criteria:
- 1+ years reception experience, ideally within an allied heath or medical setting.
- Competence in the use of practice management software or similar systems (we use Zanda, formerly known as Powerdiary).
- Intermediate proficiency in the use of Microsoft Office applications (e.g.: Word, Excel, Outlook, MS Teams).
- Demonstrated ability to manage competing demands.
- Ability to obtain a satisfactory National Police Clearance.
