The Role
Reporting to the Pathways Project Lead, the Pathways Project Coordinator – Events, supports the delivery of national projects that strengthen entry into and progression through Para sport pathways. The role’s principal project portfolio is the end-to-end coordination of PA’s national programme of multi-sport “come-and-try” Para sport events. Delivered in partnership, with National Institute Network (NIN) Para Units, State Sporting Organisations, and other sporting partners; these events provide accessible entry opportunities for individuals with Para sport eligible impairments to experience suitable sports and connect with potential pathway opportunities.
The Coordinator will lead the operational planning and logistical delivery of Australia-wide events, to provide a consistent national delivery approach across metropolitan and regional locations. This includes coordinating venues, participating sports, registrations, accessibility requirements, equipment, schedules, communications, travel, event-day operations and post-event follow-up.
This is a fixed-term contract role until 30 June 2028 and can be based from our Melbourne, Sydney or Brisbane office. The role will require interstate travel and work outside standard business hours, including weekends, to support event delivery.
The Person
You are a highly organised and process-driven operator who enjoys creating positive participant experiences and bringing structure to work involving multiple activities, locations and stakeholders.
You bring practical experience coordinating multi-sport events, come-and-try activities, community sport programmes or comparable participant-focused initiatives. You are comfortable managing detailed logistics, including venues, registrations, accessibility requirements, schedules, equipment, suppliers, travel arrangements, run sheets and event-day operations.
You communicate clearly, build constructive relationships and confidently follow up with partners to confirm requirements, resolve issues and keep delivery on track.
You can apply a consistent national approach while responding appropriately to local and individual needs.
Knowledge of Para sport, disability inclusion or athlete pathways would be beneficial but is not essential. Most importantly, you are curious and willing to build your understanding of impairment-informed practice and the broader Para sport system.
Responsibilities
- Coordinate the end-to-end planning and delivery of PA-led multi-sport Para sport entry events in partnership with NIN Para Units as key stakeholders State Sporting Organisations, and other sporting partners.
- Develop and maintain event delivery plans, timelines, checklists, run sheets and action registers.
- Apply standardised processes, templates and protocols to support consistent, systematic and high-quality delivery across all locations.
- Coordinate event logistics, including venues, participating sports, equipment, suppliers, registrations, travel, accommodation and event-day requirements.
- Develop and implement event risk-management protocols, including safeguarding, incident-response and escalation requirements, in accordance with PA policies.
- Build constructive working relationships with NIN Para Units and other Para sport system partners to support event delivery and participant follow-up.
- Establish clear roles, deliverables and timeframes for event partners and proactively follow up actions to keep delivery on track.
- Coordinate processes that connect interested participants with relevant sporting organisations, Para Units or further pathway opportunities, while ensuring technical decisions remain with appropriately qualified personnel.
- Deliver discrete, time-bound Para sport system projects, coordinating stakeholders, activities,
milestones, reporting and project close-out within agreed scope and delivery parameters.
Key Competencies
- Robust organisational, administrative and communication skills with the ability to coordinate detailed logistics across multiple locations and stakeholders.
- Experience coordinating multi-sport, community or participant-focused events.
- Demonstrated ability to work in a systematic, process-driven manner to maintain accurate records and support consistent and repeatable practices.
- Understanding of the project and event delivery lifecycles with the ability to translate an agreed objective into a practical delivery plan and maintain momentum through to completion.
- Experience with event risk planning, safeguarding and incident protocols and the ability to identify and escalate risks and delivery issues appropriately.
- Excellent interpersonal and relationship skills and a collaborative attribute.
- Interest in the Australian Sport system and Para sport athlete pathways is beneficial.
Education and Training
- Qualifications in sports management is preferable although not essential depending on experience.
- Working with Children’s Check.
