The Role

This position is perfect for a process-driven, experience focused problem solver who wants to use technology to empower our staff and volunteers to make a bigger impact. Reporting to our Senior Manager Operations Support, this 18-month fixed-term contract role bridges the gap between people and technology. You will act as the champion for our volunteer management platform (Rosterfy) and key integrated tools, focusing on process design, user experience, and volunteer journey mapping to ensure a seamless, high-quality experience for volunteers across every stage of their lifecycle.

What you’ll be doing (in a nutshell)

- Optimising Volunteer Lifecycles & Journeys: Partnering closely with the Volunteer Experience Coordinator to map, build, and refine automated volunteer journeys (onboarding, engagement, retention, and offboarding). You'll design streamlined workflows to remove friction, enhance engagement, and create "wow" moments for our volunteers.
- Designing Seamless User Experiences: Serving as the key contact for our volunteer platform (MyOS/Rosterfy), translating user needs into smart system configurations, and providing thoughtful support to ensure technology is an enabler, not a barrier.
- Crafting Workflows & Learning Resources: Collaborating with our Learning & Development Specialist to build engaging, accessible user guides, workflows, and training materials that make platform adoption easy and intuitive for both staff and volunteers.
- Driving Continuous Improvement: Proactively identifying operational pain points, testing new platform features, and implementing process improvements aligned directly with our broader volunteer strategy.
- Protecting Data Integrity & Insights: Conducting light system audits to keep volunteer data accurate and secure,



while collaborating with our Data & Insights team to improve volunteer lifecycle reporting.
- Collaborating Across the Organization: Building strong, positive relationships with volunteer leaders, internal teams, and software partners to bring process enhancements to life.

What you bring to the table

- The experience: 3+ years of experience in volunteer engagement, customer experience, operations support, or systems administration. Prior experience designing user journeys or supporting a large volunteer base in a non-profit environment is highly valued.
- Experience & journey mapping focus: A people focused mindset with a knack for process mapping, understanding user behaviour, and designing intuitive, automated journeys that make people's lives easier.
- Platform & technical aptitude: Practical experience navigating, configuring, or supporting volunteer management platforms or CRMs with an interest in workflow automation.
- Communication & empathy: Exceptional skills in translating system processes into clear and accessible language for a diverse range of people
- Analytical & project skills: Strong organisational skills to manage competing priorities, paired with a sharp eye for detail regarding data quality and process flow (experience with Asana is a plus).
- The mindset: A creative problem solver who sees gaps as opportunities to improve the user experience and brings a genuine passion for Orange Sky's mission.
