Independent Living Specialists (ILS) is seeking an organised, hands‑on and reliable Education & Events Administrator to support the delivery of clinical education programs, conferences, expos and events across Australia.
This varied role combines warehouse and distribution support, inventory management, event logistics and administration. Working closely with the Clinical Education & Events Specialist, you will help ensure event materials, marketing collateral and equipment are organised, distributed and event‑ready to support successful events throughout the ILS network.
The casual, hybrid role is 9 hours per week across Tuesday, Wednesday and Thursday, including attendance at the Lane Cove West office/warehouse a minimum 1 day per week.
Key Responsibilities
- Prepare, pack and dispatch event materials, signage, banners, backdrops and promotional items.
- Coordinate the allocation, labelling and distribution of event materials across the ILS network.
- Track and manage the movement and return of event assets and equipment.
- Maintain organised storage areas and ensure event materials are safely stored and event‑ready.
- Conduct stocktakes and maintain accurate inventory records.
- Identify damaged, missing or depleted items and coordinate replenishment as required.
- Order approved marketing collateral, merchandise and event supplies for conferences, expos and educational events.
- Monitor stock levels of brochures, flyers, banners,
giveaways and promotional products.
- Coordinate replenishment of marketing materials and merchandise as required.
- Liaise with suppliers, printers and couriers to ensure materials are delivered accurately and on time.
- Pack and distribute marketing materials to ILS branches, events and external venues.
- Assist with the setup and presentation of exhibition stands and event displays.
- Assist with the setup and pack‑down of conferences, expos, workshops and education events held in Sydney. Provide remote support to interstate expos.
- Arrange tables, chairs, signage, promotional displays and exhibition materials.
- Prepare participant packs, attendee resources, name badges and event materials.
- Coordinate catering requirements and assist with event‑day logistics.
- Ensure event spaces are professionally presented and ready for attendees.
- Provide practical support before, during and after events.
- Provide administrative support to the Clinical Education & Events team.
- Assist with the setup and administration of online and face‑to‑face events.
- Maintain accurate event records, registrations and attendee information.
- Prepare reports, attendance lists and routine administrative updates.
- Complete follow‑up activities to support successful event delivery.
- Undertake ad hoc tasks to support the smooth operation of the education and events program.
About You

- Comfortable lifting, moving and setting up event equipment and materials.
- Available to support occasional conferences, expos or events outside standard working hours when required.
Skills & Experience
Experience in one or more of the following areas will be highly regarded:
- Event administration, event coordination or conference support.
- Warehouse, logistics, distribution or inventory management.
- Marketing collateral and merchandise management.
- Hospitality, catering or customer service.
- Office administration or coordination.
- Printing event materials, name badges and participant resources.
You will also have:
- Strong organisational and time management skills.
- Excellent attention to detail.
- Clear written and verbal communication skills.
- Proficiency with Microsoft Outlook, Word and Excel.
- The ability to work independently while collaborating effectively with a broader team.
- A practical, proactive and solutions‑focused approach.
