About the Role
ANZPEO is seeking a highly organised, proactive and hands-on Skilled Visa Coordinator to coordinate the end-to-end delivery of visa sponsorship services across Australia and New Zealand. This role will report directly into the Director/Founder of the business.
Working closely with clients, visa applicants, immigration lawyers and internal teams, you’ll manage visa matters from initial eligibility through to application, approval and employee onboarding. This is a client-facing, administrative role requiring strong attention to detail and the ability to manage multiple cases and deadlines.
This role is a Skilled Visa Coordinator position and does not require the successful applicant to be a Registered Migration Agent. Immigration advice requiring a registered migration professional will be provided by ANZPEO’s external migration adviser, with the Skilled Visa Coordinator responsible for coordinating the matter and managing the associated process.
This is a fully remote, Australia-wide role, with Greater Sydney preferred. ANZPEO’s head office is on the Northern Beaches of Sydney and you may be required to travel if you live interstate.
Full-time availability is ideal, however, we’re open to discussing shorter working days or school-hours arrangements across five days per week for the right candidate.
Visa & Sponsorship Coordination
- Manage the end-to-end coordination of Australian and Current Zealand visa sponsorship matters.
- Act as a key point of contact between clients, visa applicants, immigration lawyers and internal ANZPEO teams.
- Work with immigration lawyers to assess potential visa pathways and eligibility requirements.
- Own the collection, review and submission of required information and documentation.
- Maintain clear communication with clients and applicants regarding requirements, progress, outstanding information and next steps.
- Champion matters across Australian and New Zealand visa pathways,
including employer-sponsored, temporary work and residence pathways.
- Ensure visa matters progress efficiently and in accordance with relevant deadlines and immigration requirements.
Case & Project Management
- Manage a growing portfolio of active visa and sponsorship matters simultaneously.
- Maintain accurate case records and manage each matter through HubSpot.
- Track key milestones, application stages, outstanding documents, invoices and deadlines.
- Coordinate immigration lawyer fees, government charges and client invoicing as required.
- Proactively follow up with stakeholders to prevent unnecessary delays.
- Maintain accurate internal records and provide regular updates to relevant stakeholders.
Labour Market Testing
- Coordinate Labour Market Testing requirements for applicable Australian visa applications.
- Manage job descriptions and coordinate advertisements across required job boards.
- Monitor advertisements to ensure they remain live for the required period.
- Track completion dates and prepare advertising summaries and supporting documentation for immigration lawyers.
Employment Documentation & Agreements
- Collect applicant and employment information required to prepare employment documentation.
- Own the preparation, review and execution of employment contracts.
- Prepare, amend and manage Project Agreements and Master Agreements as required.
- Coordinate electronic signatures and maintain accurate records of executed documentation.
- Provide relevant employment and company documentation to immigration lawyers to support visa applications.
Employee Onboarding & Ongoing Compliance
- Coordinate with ANZPEO's onboarding and payroll teams to prepare successful visa holders for employment.
- Ensure all required employment information is provided internally to facilitate a smooth onboarding process.
- Monitor visa expiry dates and maintain accurate visa records.
- Set reminders and proactively identify upcoming visa expiries and renewal requirements.
- Coordinate with clients,
employees and internal teams regarding future visa requirements and renewal timelines.
- Help ensure ANZPEO continues to meet its sponsorship and immigration compliance obligations.
Client & Applicant Support
- Deliver a high level of service to international clients and visa applicants throughout the process.
- Explain visa processes, requirements, expected timelines and next steps in a clear and practical manner.
- Work closely with immigration lawyers to ensure advice and information provided to clients is accurate and appropriately communicated.
- Support clients in understanding ANZPEO's EOR sponsorship structures and global mobility solutions.
- Build strong relationships with clients and applicants and provide a positive experience throughout what can often be a complex immigration process.
Skills & Experience
We are looking for someone who is highly organised, capable and comfortable taking ownership of a busy administrative workload.
- 5+ years’ administration experience, ideally within coordination, operations, professional services or a similar environment.
- Experience in immigration, visa processes, global mobility, EOR, HR or international employment is advantageous but not essential.
- Proven ability to manage detailed processes from start to finish, balancing multiple cases, priorities and deadlines.
- Exceptional attention to detail and accuracy, particularly when handling documentation and sensitive information.
- Confident communicating with clients, employees, lawyers and internal stakeholders.
- A proactive, hands-on approach, with the ability to take ownership and see tasks through to completion.
- Confident using CRM and business systems; HubSpot experience is advantageous.
