Administration Coordinator (Maternity Leave Cover)

Auriga Group is a safe, customer-focused and dedicated team of Marine and Aviation professionals operating across Australia. Our group comprises three divisions: Auriga Pilots, Auriga Marine and Auriga Aviation, delivering services across 20 locations nationally.

Collectively, Auriga supports approximately 50% of Australia's seaborne trade through the provision of Marine Pilotage Services, Marine Logistics Services and Aviation Marine Pilot Transfer Services.

Auriga Pilots provides marine pilotage services for vessels transiting the shipping channels of the Great Barrier Reef and offers specialist pilotage and advisory services for superyachts, cruise ships and military vessels.

About the Role

We are seeking a highly organised and proactive Administration Coordinator to join our team on a maternity leave contract (12 months), with the potential for ongoing employment.

Based in our Albion office, this role provides administrative and executive support to the General Managers and operational teams within our pilotage business. You will play a key role in keeping our business running smoothly by managing travel arrangements, diaries, reporting, purchase orders and a variety of administrative functions.

This role would suit an experienced administrator, executive assistant or office coordinator who enjoys working in a rapid-paced environment, is highly organised, and takes pride in supporting a busy leadership team.

Key Responsibilities

- Provide administrative support to General Managers and business leaders across the Auriga Group.
- Coordinate extensive travel bookings, including flights, accommodation,



charter services and ground transport for employees and contractors.
- Manage executive calendars, meetings and appointments, ensuring efficient scheduling and prioritisation.
- Prepare purchase orders and assist with supplier administration and invoice processing.
- Develop and format professional presentations, reports and business documents using Microsoft PowerPoint, Word and Excel.
- Maintain accurate records, databases and filing systems.
- Prepare and distribute regular management reports and operational updates.
- Support meeting coordination, including agenda preparation, minute taking and follow-up actions.
- Assist with compliance administration, licence tracking and record management.
- Provide support to operational teams with pilotage bookings and travel logistics as required.
- Respond to enquiries from employees, contractors, customers and stakeholders in a professional and timely manner.
- Undertake general office administration duties to support the effective operation of the business.

About You

You are a highly organised and professional administrator who enjoys supporting executives and coordinating multiple priorities simultaneously.

You have exceptional attention to detail, strong communication skills and the confidence to work independently while contributing positively to a collaborative team environment.





You thrive in a fast-paced workplace and are comfortable managing competing deadlines while maintaining a high standard of work.

Skills & Experience

- Previous experience in an Administration Coordinator, Executive Assistant, Office Manager or similar role.
- Advanced Microsoft Office skills, particularly: PowerPoint (essential), Outlook, Word, Excel
- Experience coordinating complex travel arrangements and itineraries.
- Experience managing multiple calendars and meeting schedules.
- Strong organisational and time management skills.
- Excellent written and verbal communication skills.
- High attention to detail and accuracy.
- Strong customer service and stakeholder management skills.
- Ability to maintain confidentiality and exercise discretion.
- Experience raising purchase orders and supporting accounts payable processes.
- Experience using Microsoft Dynamics, CRM systems or similar business platforms.
- Experience within maritime, aviation, logistics or transport industries.
- Minimum two years' experience in a similar administrative support role.
