Port Phillip Animal Hospital is seeking a dedicated, qualified and experienced Veterinary Receptionist to join our team in Albert Park, VIC 3206. This is a full-time position that serves as the first point of contact for our clients and their beloved pets. In this role, you will be the welcoming face of our practice, managing the front desk operations and ensuring that every client receives exceptional service from the moment they walk through our doors. The Veterinary Receptionist plays a vital role in maintaining smooth clinic operations, supporting our veterinary team, and contributing to a positive experience for both clients and patients.
Key responsibilities
Greeting clients and pets upon arrival with a warm, professional demeanour
Managing appointment bookings and scheduling across our veterinary calendar
Processing client payments and handling financial transactions accurately
Maintaining and updating client and patient records in our practice management system
Answering telephone enquiries and directing calls appropriately
Assisting veterinarians and nursing staff with patient care preparation and support
Providing information to clients regarding services, treatments, and aftercare instructions
Managing reception area cleanliness and organisation
Processing referrals and coordinating communications with other veterinary practices
Handling administrative tasks including filing, data entry, and correspondence
What we’re looking for
Previous experience working in a veterinary practice reception or similar customer-facing healthcare environment
Excellent communication skills with the ability to interact professionally with diverse clientele
Proficiency with veterinary practice management software and general computer literacy
Strong organisational and multitasking abilities in a busy environment
Demonstrated ability to work effectively as part of a team
A genuine love and understanding of animals
High level of attention to detail and accuracy when handling records and transactions
Professional telephone manner and customer service orientation
Ability to remain calm and courteous under pressure
