WISE Buyers Agency is looking for a Contract Coordinator who can take ownership of the coordination of our commercial property transactions from purchase contract through to settlement .
This is a role for someone who genuinely loves organisation, systems and keeping lots of moving pieces on track.
Someone who can have multiple property transactions underway and still confidently tell us:
What's done? What's outstanding? Who are we waiting on? What's due next? And what could become a problem if we don't deal with it now?

Who Are We?
We're WISE Buyers Agency , a specialist Commercial Property Buyers Agency helping Australians build financial security and long-term wealth through commercial property.
We're based in South East Queensland , with a remote team supporting clients and property acquisitions across Australia.
We're a growing, close-knit business with high standards around both the work we do and the experience we provide our clients.
We've built detailed systems, templates, checklists and processes to support how our transactions are managed. We need someone who can take ownership of those processes, follow them exceptionally well and make sure things get done.
What Will You Actually Be Doing?
Once one of our clients signs a contract to purchase a commercial property, you become the person coordinating the moving pieces behind that transaction.
On any given day, you could be:
- Tracking due diligence, finance and settlement deadlines
- Keeping clients informed about where their purchase is up to
- Liaising with solicitors, brokers, accountants, agents and other professionals
- Researching trades, suppliers and other property-related information as required
- Coordinating building inspections, trades, reports and due diligence requirements
- Requesting and organising property and tenant documentation
- Managing due diligence checklists and outstanding actions
- Reading incoming information and identifying what's missing or needs attention
- Updating ClickUp and ensuring transaction records are accurate and current
- Escalating matters requiring senior review
- Coordinating pre-settlement requirements
- Completing post-settlement client follow-up
There are a lot of moving parts, different people involved and deadlines that matter.
Your job is to keep the transaction organised and moving forward.
What This Role Is (And Isn't)
We're not looking for you to decide whether a commercial property is a valuable investment.
Our senior property team is responsible for investment analysis, property risk assessment and recommendations.
Your strength is in collecting, reading and organising information, coordinating the right people, tracking what needs to happen and following actions through to completion.
There's a big difference between:
"I sent them an email."
and:
"It was due today, so I emailed them this morning, followed up by phone this afternoon, received it at 3pm, updated the system and sent it to the appropriate person for review."
We're looking for the second person.
You Might Be Our Person If You...
- Have exceptional attention to detail
- Love good systems, checklists and processes
- Can follow established processes, checklists and templates accurately, while still noticing when something doesn't look right
- Take ownership and don't need constant reminders
- Can confidently manage multiple live transactions and competing deadlines without losing track of the details
- Notice when information is missing, inconsistent or doesn't make sense
- Follow things through until they're actually completed
- Aren't afraid to pick up the phone or follow someone up again
- Communicate professionally with clients and external professionals
- Can read and make sense of detailed information
- Know when something needs to be escalated
- Work well independently and manage your own time
- Take pride in keeping systems, tasks and documentation accurate
- Want to become part of a team and business for the long term
Your Background
You may currently be working in:
- Conveyancing or property law
- Property transaction coordination
- Commercial or Residential property transactions/operations
- A buyers agency
- Mortgage broking or loan processing
- Property development
- Settlements
- Real estate contract administration
- Property manager
Commercial property experience would be fantastic, but it isn't essential .
If you've spent years coordinating conveyancing matters or another complex, deadline-driven process and would love to use those skills in a different property environment, we'd particularly love to hear from you.
We're interested in your capability, not just your current job title .
Experience with ClickUp or similar project management tools, CRMs, Google Workspace will also be highly regarded.
The Package
We believe in rewarding great people for the contribution they make to the business.
Your remuneration will include:
- Base salary: $75,000 + Super
- Performance bonuses: approximately $10,000+ per year based on performance and transaction volumes
- Potential total earnings: approximately $85,000+ plus Super
Perks of the Job:
- Work remotely from home - no commute!
- Business hours with some flexibility - this is a Monday to Friday role, with core working hours around 9am - 5pm. We offer some flexibility around start and finish times, however you'll need to be available, responsive and actively working across the core business day
- Christmas/New Year shutdown - generally 2-3 weeks incorporating public holidays and annual leave
- Laptop and phone provided
- Build your commercial property knowledge - gain exposure to commercial property transactions across Australia and continue developing your knowledge and experience
As we're based in South East Queensland, we're ideally looking for someone within the region who can join us for occasional in-person team days, training and events.
