GBM (Gaan Baksho Music)

Sydney

Gaan Baksho Group is a growing music rights management, publishing, and distribution company supporting artists, record labels, publishers, composers, producers, and rights holders across global markets.

We provide services across music distribution, publishing administration, royalty collection, catalogue management, copyright protection, metadata support, and digital platform coordination.

Through our international network of collection societies, industry partners, and digital platforms, we help music creators and rights holders protect, manage, and monetise their music rights worldwide.

As our business continues to grow, we are looking for an experienced and reliable Music Operations Coordinator to support the day-to-day running of our music distribution and publishing operations.

About the Role

Gaan Baksho Group is seeking a highly organised and detail-focused Music Operations Coordinator to join our team on a permanent part-time basis.

This is an operational administration role supporting the daily workflow of our music distribution and publishing services. The role is best suited to someone who has already worked within a music company, record label, music distribution company, music publishing company, artist services business, or similar music industry environment.

The successful candidate will take ownership of key day-to-day administration tasks, including inbox management, client communication, release coordination, metadata quality checks, internal team coordination, task tracking, and general operational follow-up.

This is not a general office administration role. We are specifically looking for someone who understands the importance of accuracy, organisation, communication, and attention to detail within music distribution, music publishing, catalogue administration, and client service.

- Monitor company emails and respond to client and business enquiries in a professional and timely manner.
- Draft, review, and send email responses relating to music distribution, publishing, royalties, client onboarding,

release queries, and general administration.
- Manage daily administrative follow-ups and help keep business operations organised.
- Coordinate with internal team members to follow up on outstanding tasks, client requests, documents, release information, metadata, and operational updates.
- Support the day-to-day administration of music distribution services.
- Review client-submitted release information, including artist names, track titles, featured artists, release dates, audio files, artwork, songwriter details, label details, credits, and metadata.
- Conduct quality control checks to identify missing, incomplete, inconsistent, or unclear information before release processing.
- Maintain release trackers, client records, catalogue spreadsheets, task lists, and internal admin systems.
- Assist with organising publishing-related information, including songwriter details, composer details, lyricist details, ownership information, splits, and supporting documents.
- Support the preparation and review of client onboarding information.
- Coordinate task updates between distribution, publishing, marketing, and management.
- Prepare simple internal summaries, task updates, and progress notes as required.
- Assist with one approved social media post per week for company pages.
- Assist with one monthly email marketing campaign, newsletter, or client update.
- Support basic content coordination for announcements, service updates, client education posts, release reminders, and music industry updates.
- Escalate urgent, sensitive, technical, legal, royalty, copyright, or payment-related matters to management.
- Maintain professional, accurate, and confidential communication at all times.
