Connect Allied Health is a friendly and experienced team of allied health clinicians providing high-quality speech pathology, occupational therapy, psychology, positive behaviour support, developmental education, podiatry, and other allied health services to children and adults across Adelaide and the Riverland.
We take a holistic, client-centred approach, tailoring services to individual needs. Therapy is provided at our Norwood, Modbury, and Berri clinics, as well as in clients’ homes, schools and Early Learning Centres.
This role is responsible for coordinating client services, ensuring all required governance documentation - such as service agreements, consent forms, schedules of supports, etc. - is completed accurately and followed up in a timely manner. The position also involves coordinating and scheduling clinician appointments in accordance with CAH requirements, as well as managing day-to-day administrative tasks such as responding to emails, handling phone enquiries, and maintaining accurate records.
The successful candidate will demonstrate robust communication, organisational, and time-management skills, with exceptional attention to detail and the ability to effectively manage competing priorities in a fast-paced setting.
Your Responsibilities Include:
- Create and follow up on service agreements, consent forms, schedules of support and other required participant documentation as per CAH.
- Answer incoming phone calls and manage general enquiries, appointment bookings, cancellations and schedule changes.
- Coordinate the onboarding of new clients and allocate them to appropriate clinicians based on client needs, clinician availability, service requirements and geographic location.
- Liaise with clinicians and the head office team regarding appointment bookings, scheduling changes and client requirements.
- Review and amend the frequency of client supports in line with available budgets and funding.
- Coordinate multiple clinical schedules and arrange appointments across schools, homes, Early Learning Centres and clinic locations, while minimising clinician travel and maximising scheduling efficiency.
- Communicate effectively and promptly with clients, families and schools to support preferred appointment times while ensuring schedules are practical, efficient and well-structured for clinicians.
- Communicate effectively and promptly with clinicians to support their scheduling needs and ensure appointments are coordinated efficiently.
- Complete scheduling and administrative requirements in a timely manner, demonstrating strong time management, organisation and prioritisation skills.
- Complete general administration duties to support the smooth day-to-day operation of the service.
- Greet clients, families and clinicians in a warm, qualified and welcoming manner.
- Maintain the day-to-day presentation and functionality of the Norwood clinic, including the kitchen, printer and general office facilities.
- Monitor and maintain clinic supplies and resources, including stationery, printing supplies and other essential items.
Ideally you will have:
- Experience in scheduling and rostering
- An understanding or exposure to allied health supports and/or the National Disability Insurance Scheme
- A positive can-do attitude and ability to work as a team player
- Exceptional prioritisation and time management skills are essential for this position
- Excellent verbal and written communication skills
- Proficient with Microsoft Word and Excel
- Proficient in learning skills to navigate practice management software
- Required to obtain Working with Children and Disability Services Clearances or NDIS Worker Check, and a National Police Clearance
