About the role

We are seeking a highly organised and customer-focused Service Scheduler & Administration Officer to become the central hub of our operations. This is a dynamic and rapid-paced role that combines reception, customer service, scheduling, administration, and operational support.

As the first point of contact for our business, you will be responsible for answering and managing all incoming calls, coordinating technician schedules, supporting customers, and ensuring jobs progress efficiently from booking through to invoicing.

This role is ideal for someone who thrives in a busy setting, enjoys problem-solving, has excellent communication skills, and can confidently juggle multiple priorities while maintaining a high level of accuracy and customer service.

Key responsibilities
Answer and manage all incoming phone calls for the business
Respond to customer enquiries via phone and email in a qualified and timely manner
Direct enquiries to the appropriate department when required
Provide updates to customers regarding scheduling, job progress, and completion
Maintain strong customer relationships through exceptional service




Coordinate and schedule service, repair, and installation jobs
Allocate work efficiently to field technicians
Confirm appointment times, site access requirements, and job scopes
Monitor and adjust technician schedules to maximise efficiency
Liaise with technicians and customers to ensure smooth job delivery

About you
Previous experience in scheduling, administration, customer service, or service coordination
Experience managing high volumes of incoming phone calls
Strong organisational and time-management skills
Excellent verbal and written communication skills
Ability to work in a fast-paced, high-volume workplace
High attention to detail and accuracy
Robust computer skills, including Microsoft Office
Experience with ServiceM8 or similar scheduling software is highly regarded
Technical aptitude or experience within a trade, construction, manufacturing, service, or mechanical environment will be highly regarded
Ability to work independently while contributing to a positive team culture
