About The Role n
As a Recruitment & Mobilisation Coordinator, you will play a pivotal role in ensuring the smooth and productive operation of recruitment, mobilisation and administrative processes.
Your Key Responsibilities Will Include n
n
Manage the full recruitment lifecycle including job posting, screening, interviewing, and hiring.
n
Develop and maintain strong relationships with hiring managers to understand staffing needs.
n
Coordinating the onboarding and mobilisation of site teams to various worksites, adhering to strict timelines and ensuring efficiency.
n
Gaining a comprehensive understanding of the specific operational requirements of each worksite.
n
Facilitating seamless communication between work sites and our staff through phone, text messages, and email correspondence.
n
Preparing, managing, and maintaining all necessary documentation to facilitate seamless site entry for teams.
n
Organising flights, travel, and accommodation to ensure personnel are mobilised according to the roster.
n
Managing leave requests and maintaining accurate and up-to-date rosters and schedules.
n
Ensuring all personnel meet site‐specific requirements, including qualifications, medical clearances, and inductions.
n
Submitting site entry documentation to clients in compliance with their procedures and systems.
n
In conjunction with HR, onboard and appropriately mobilise qualified employees for allocated projects ensuring they meet project‐specific requirements.
n
Lead the seamless mobilisation of personnel to allocated sites, ensuring alignment with project timelines and operational needs.
n
Utilise training, checklist, mobilisation, and planning software such as ERMS,



SuccessFactors, My Pass, and INX to streamline processes, manage personnel data, and track qualifications (as required).
n
Establish and maintain clear lines of communication with site supervisors, employees, and other stakeholders. Regularly update them on project requirements, schedule changes, and any relevant information.
n
Develop and maintain a robust organisational system to efficiently manage mobilisation requirements. This includes tracking employee qualifications, coordinating travel arrangements, managing timesheets, site access requirements and tracking and checking purchase orders and invoices.
n
Provide reporting (weekly, monthly, or as requested) to management.

Required Skills and Qualifications: To Be Successful In This Role, You Should Possess n
n
A minimum of 3 years' experience in a similar recruitment and mobilisation role.
n
Proficiency in using ERMS and INX systems (highly advantageous).
n
Excellent written and verbal communication skills.
n
A strong understanding of customer service principles, ensuring satisfaction for clients and team members alike.
n
Advanced skills in Microsoft Office, particularly Excel and Outlook.
n
Exceptional organisational abilities and attention to detail.
n
A proactive personality and the ability effectively manage multiple projects
n
Excellent people management skills are a must.
n
