About the role
United Petroleum is looking for an experienced Paralegal to join our Property and Legal teams. Reporting jointly to the Head of Property and the General Counsel, this is a hands-on role responsible for preparing and coordinating property and conveyancing documentation, supporting property settlements, managing property and legal records and providing broader paralegal support across both teams.
You will work on site 5 days a week; working closely with external lawyers, conveyancers and with stakeholders across the business; ensuring property and legal matters are handled accurately, efficiently and on time.
Key responsibilities
Property transactions & conveyancing
Prepare deeds of renewal of lease and deeds of assignment of lease
Manage and coordinate property settlements, acting for the company as both buyer and seller
Coordinate conveyancing transactions with external lawyers, conveyancers and internal stakeholders to ensure matters settle on time
Conduct property title, planning, zoning and PPSR searches as required
Assist with due diligence for property acquisitions and disposals, and with compulsory acquisition documentation
Track critical property dates (lease expiries, options, renewals, settlements) and diarise key milestones
Liaise with landlords, tenants, real estate agents, valuers and settlement agents
Legal & document administration
Coordinate the certificate of titles index and manage the security of paper titles
Manage the preparation,
execution and register of Power of Attorney documents
Prepare correspondence on behalf of the Property and Legal teams and arrange certified copies of documents
Maintain accurate, secure and easily retrievable property and legal records (electronic and hard copy)
Maintain and update the precedent and template library
Track property and legal invoices through approval and payment, and maintain the invoice tracking spreadsheet
Liaise with Accounts Payable/Finance to resolve invoice queries and discrepancies
Reporting & stakeholder coordination
Prepare regular and ad hoc reports on property, legal and invoicing matters
Build strong, professional relationships with external lawyers, conveyancers and other service providers
About you
You will be a Graduate Lawyer or possess a Certificate IV or Diploma in Legal Studies/Paralegal Studies (or working towards), or equivalent experience in a paralegal or legal support role
Sound understanding of the conveyancing and property settlement process
Experience with property title search platforms (e.g. InfoTrack, Landata) is advantageous
Intermediate to advanced Microsoft Office skills (Word, Excel, Outlook) and experience with document management/records systems
Excellent organisational skills with a high level of accuracy and attention to detail
Robust written and verbal communication skills, with confident stakeholder management at all levels
High level of discretion, integrity and confidentiality, given regular exposure to sensitive commercial and legal information
A proactive, self-motivated and solutions-focused approach, comfortable managing competing priorities and deadlines
