Overview
We are looking for a detail-oriented Payroll Officer to join our payroll team and take ownership of monthly outsourced payroll processing across Japan, Singapore, and Shanghai, with the opportunity to expand scope into Hong Kong and India as you grow in the role.
This can be a full time or 4 day a week part-time role.
You'll be the key point of contact between our organisation and our outsourced payroll providers in each jurisdiction, ensuring employees are paid accurately and on time while maintaining compliance with local regulations.
This is a great opportunity for someone who enjoys the operational and relationship-management side of payroll and wants to build genuine breadth across the Asia Pacific region.
Key Responsibilities
Manage the monthly end-to-end outsourced payroll process for Japan, Singapore, and Shanghai, acting as the primary liaison with external payroll vendors in each country
Review and validate payroll inputs (current starters, leavers, salary changes, allowances, bonuses, and other variable pay items) before submission to providers
Check payroll outputs for accuracy, investigating and resolving discrepancies with vendors before payment runs are finalised
Reconcile payroll reports against internal payroll records and general ledger entries as required
Ensure payroll is processed and paid in line with each country's statutory deadlines and requirements
Respond to employee payroll queries in a timely and professional manner, escalating where needed
Support statutory reporting, filings, and year-end processes coordinated through outsourced providers (e.g. tax filings, social insurance, provident fund contributions)
Maintain accurate payroll records and documentation in line with data privacy and audit requirements




Build strong working relationships with HR, Finance, and outsourced payroll partners
Learn Hong Kong and India payroll as scope expands, with full support and training provided
Identify opportunities to improve payroll processes and controls across the region
Contribute to a small team environment by supporting colleagues during peak periods and leave cover, and participating in cross-training
What we're looking for
Essential:
Proven experience managing outsourced/third-party payroll providers (not solely in-house payroll processing)
Strong attention to detail and a methodical approach to checking and validating data
Ability to manage multiple country deadlines and priorities simultaneously
Comfortable working with payroll vendors across different time zones
Strong written and verbal communication skills
Proficiency with Excel and payroll/HRIS systems
Desirable:
Experience with Asia Pacific (APAC) payroll, particularly Japan, Singapore, Hong Kong, Shanghai/China, or India
Familiarity with statutory payroll requirements in one or more APAC jurisdictions (e.g. CPF, social insurance, provident fund schemes)
A proactive, adaptable mindset with an interest in expanding into new countries and processes
