We’re looking for an organised, detail-focused Legal Assistant to support our Toowoomba conveyancing team and Retirement Living department.
The Role
This is a full-time, office-based position in our Toowoomba office, with duties split between residential conveyancing and Retirement Living matters. Working closely with our solicitors and conveyancing team, you’ll help keep files organised, documents moving and clients informed throughout their matter.
You’ll suit this role if you enjoy helping people, take pride in getting the details right and can keep on top of a busy workload. Clear communication, patience and a practical approach are important, particularly when assisting clients through a move into retirement living.
Key Responsibilities
- Provide day-to-day administrative support across conveyancing and Retirement Living matters.
- Open and maintain files, record client information and keep electronic records accurate and up to date.
- Prepare routine correspondence and documents using established templates and under the team’s direction.
- Liaise with clients, agents, other solicitors and retirement village contacts to obtain documents and follow up outstanding information.
- Help monitor key dates, maintain task lists and bring urgent items to the attention of the responsible team member.
- Assist with document signing arrangements and settlement preparation as directed.
- Respond to routine enquiries professionally and refer legal questions to the appropriate solicitor.
- Work with colleagues across both teams to keep matters progressing and deliver a consistent client experience.
Requirements
- Strong attention to detail and excellent organisational skills.
- Clear written and verbal communication, with a friendly and professional manner.
- The ability to manage competing priorities and follow through on outstanding tasks.
- Confidence using computers, maintaining electronic files and learning new systems.
- A reliable, collaborative approach and the initiative to ask questions and flag issues early.
- Discretion when handling confidential client information.
Experience in legal administration, conveyancing support or property administration will be highly regarded. An interest in Retirement Living work, and a patient, approachable manner with clients are also important.
