Bourne & Weir is a boutique chartered accounting firm on Market Street, Melbourne. For over 35 years we have specialised in Tax Advisory, Business Consulting, Superannuation, and Corporate and Business Advisory. Our clients include high-net-worth individuals, family groups and a large range of SMEs. Because the firm is Partner-led, clients get senior, strategic advice and personalised service.
We are a small, close-knit, high-performing team, and we hold our own operations to the same standard we apply to client work.
The Role
This is a senior, hands-on role with real ownership. You will be the operational backbone of the firm and will oversee our corporate secretarial function. You will report directly to the Partners, support them day to day, and set the standard for how administration runs here.
This is not a role for someone who wants to follow a process manual. We want someone who writes them, and who is happy to find recent systems or software that make the business better.
What You'll Be Responsible For
Operations and Practice Management
Owning the firm's day-to-day administrative operations end to end
Managing Accounts Payable and Accounts Receivable as well as debtor follow-up
Owning our practice management systems, including Xero Practice Manager, FYI, Onboardme, ATOmate and CAS 360
Processing costs and disbursements, and preparing invoices through Xero
Overseeing IT systems,
vendor relationships and office infrastructure
Making sure operations comply with internal policies and relevant regulations
Finding ways to improve workflows, systems and software across the firm
Corporate Secretarial - Assisting and Overseeing
Setting up and registering Australian companies, trusts and other entities
Managing ongoing annual corporate compliance obligations
Dealing with ASIC, the ATO and other government authorities
Handling ASIC company changes and searches, including PPSR and title searches
Preparing and maintaining corporate registers and organisational structure charts
Managing Director ID applications and guiding clients through the process
Preparing documents for electronic signing and following up unsigned company statements and resolutions
Keeping records in CAS 360 accurate and current
People, Partners and Office
Owning the full employee lifecycle: advertising roles, coordinating recruitment and managing onboarding and offboarding
Coordinating Partner travel, calendars and scheduling
Managing incoming correspondence, phone calls and client enquiries
Helping with client onboarding and file management
Managing office supplies, facilities, maintenance and tradespeople
Organising firm events and overseeing general office activities
What We're Looking For
Proven experience in a senior administrator or office management role,
ideally in professional services (accounting, legal or financial services)
Corporate secretarial or compliance experience, with sound knowledge of corporate structures, governance and the Corporations Act 2001
Strong working knowledge of Xero Practice Manager (essential)
Familiarity with CAS 360, FYI, OnboardMe and ATOmate highly regarded
Working knowledge of the AML/CTF obligations that now apply to accounting practices, including customer due diligence, identity verification, beneficial ownership checks and record keeping, or a willingness to build it quickly
Solid understanding of AP/AR processes and basic financial management
Experience managing recruitment and HR administration, including job advertising, candidate coordination, onboarding and offboarding
Strong attention to detail and excellent written and verbal communication
The ability to manage competing priorities across a busy Partner group without being chased
Discretion with confidential and sensitive information
A confident, professional manner with Partners, staff, clients and external parties
Proficiency in Microsoft Office (Word, Outlook, Excel)
