Gympie Regional Council has an exciting opportunity for an existing GRC employee. We are seeking a highly capable and proactive Executive Assistant to the Director to join the Community Sustainability Directorate.

This is much more than a traditional administrative role. As Executive Assistant, you will be a trusted partner to the Director, providing high-level executive and business support and helping create the environment for effective strategic leadership and decision-making.

You will need to be someone who can anticipate what is needed, navigate competing priorities, understand organisational dynamics, and exercise sound judgement and discretion. Building strong relationships, communicating with confidence and maintaining a calm, solutions-focused approach will be key to your success.

About the role

Working closely with the Director and Directorate Support Team, you will play a critical role in coordinating the Director’s priorities, workflow, communications and stakeholder relationships.

You will be responsible for:

- Providing high-level executive support and acting as a key coordination point for matters relating to the Director, Directorate Support Team and relevant business areas.

- Managing the Director’s calendar, inbox and workflow, proactively prioritising competing demands and ensuring the Director is well prepared for meetings, commitments and emerging issues.

- Undertaking research, analysis and information gathering to prepare high-quality agendas, reports, correspondence, briefing notes and minutes.

- Coordinating follow-up actions and monitoring deadlines to ensure commitments are progressed and completed.

- Supporting the Director's participation in Executive Leadership Team and corporate meetings, including coordinating information and monitoring corporate reports and actions.

- Planning and coordinating internal and external meetings, stakeholder engagements and events.

- Preparing professional and timely written communications on behalf of the Director,



including responses to complex correspondence and formal documentation.

- Responding professionally to enquiries directed to the Director and Directorate Support, using sound judgement, confidentiality and an understanding of organisational priorities.

- Managing Directorate Support correspondence and ensuring matters are appropriately prioritised, responded to and escalated.

- Working collaboratively with the Directorate Support Team and other executive assistants to provide consistent, coordinated support across the Directorate.

- Supporting Directorate projects through coordination, research, documentation and administrative assistance.

- Providing financial and administrative support, including purchase orders, invoices, delegated budget responsibilities and corporate purchase card reconciliation.

- Ensuring communications and records are appropriately captured within Council’s electronic knowledge management systems and comply with legislative requirements.

- Contributing to a healthy, safe and positive workplace and supporting effective communication about workplace or building issues.

- Identifying opportunities to improve systems, processes and ways of working within the Director’s Office.

About you

We are looking for someone who is highly organised, confident and adaptable, with the ability to operate effectively at a senior level.

You will bring:

- Excellent written and verbal communication skills, with the confidence to communicate with a wide range of stakeholders.

- Strong interpersonal skills and demonstrated capability in collaboration, consultation, customer service, advocacy and relationship management.

- A high level of emotional intelligence, discretion and professional judgement.

- The ability to anticipate needs, identify emerging issues and take initiative rather than simply respond to requests.

- The ability to research, analyse information and prepare high-quality executive documentation.

- Confidence working with senior leaders and navigating a complex organisational environment.

- Robust attention to detail and a commitment to accuracy and confidentiality.

- The ability to build trusted professional relationships across the organisation and with external stakeholders.

- Solid digital capability, including Microsoft Office and corporate systems, online applications and mobile technologies.





- A collaborative mindset and an interest in continuously improving systems and processes.

Essential Knowledge/Skills/Qualifications Criteria

- You will ideally have completed a recognised tertiary qualification in business, office administration, local government, management or a related discipline, and/or have significant relevant experience in a senior executive support environment.
- You will also be required to hold and maintain a current Queensland C Class driver's licence.
