We are looking for a medical secretary for our specialist practice, which is a small, close-knit respiratory and sleep medicine practice. It will be a casual position for six months. You'll be the only medical secretary on the days you work, providing front-of-house and administrative support to the consulting specialist. You'll be the first point of contact for patients and keep the day running smoothly.
Key responsibilities
- Greeting patients, managing check-in and check-out, and handling payments
- Managing the specialist's appointment schedule, including bookings, reschedules and recalls
- Answering phones and emails and responding to patient, GP and hospital enquiries
- Coordinating investigations such as sleep studies and respiratory function tests and imaging, and following up results
- Managing incoming and outgoing documents, including sending correspondence to GPs
- Maintaining accurate patient records in accordance with privacy requirements
About you
- Previous experience as a medical secretary, medical receptionist or in a similar role in a specialist or general practice setting
- Working knowledge of medical practice software (e.g. Xestro, Genie Solutions) and Medicare billing
- Familiarity with medical terminology; respiratory or sleep medicine experience is highly regarded but not essential
- Clear, professional written and verbal communication skills
- Confident working independently, with sound judgement and initiative, as you'll be the only administrative staff member on the day
- A warm, calm and professional manner with patients, many of whom may be unwell or anxious
- Solid commitment to patient confidentiality and privacy
