? We’re hiring: Operations & Events Coordinator
Part-time — 3 or 4 days per week
? Sydney, hybrid
Help shape the future of young Australian women in STEM — Science, Technology, Engineering and Mathematics.
Build the systems. Lead the experiences. Create opportunities that can change a young person’s future.
The Orbispace Initiative is an education charity on a mission to help close the gender gap in STEM.
We work with Year 8 and Year 10 students across 50+ schools throughout NSW, including regional and inner-city communities. We connect young females with industry leaders, mentors, investors and role models, giving them access to people and opportunities they may not otherwise encounter.
We believe that when you change what a young person sees as possible for their future, you can help change the future itself.
We’re rapidly scaling our hubs. In 2027, we’re expanding into Victoria and building the systems, partnerships and experiences that will allow us to reach more students across Australia.
This is where this specific role plays a very important part, where you can make an impact.
We’re looking for an Operations & Events Coordinator to join our ambitious, collaborative team and help shape the next chapter of Orbispace.
This is a newly created role with genuine ownership across two critical areas: operations and events.
You won’t be stepping into a rigid, established operating model. You’ll have the opportunity to build, improve and shape how we work.
We’re looking for a natural problem solver — someone who sees a messy process and has the desire to fix it.
You’ll create systems that allow our organisation to scale, while helping deliver experiences that can have a lasting impact on the young people we work with.
What you will own
⚙️ Operations & systems
You will help turn the way we work into simple, scalable systems that enable a growing organisation to do more.
Responsibilities:
- Own invoicing, revenue tracking and accounts receivable across schools and partners
- Manage supplier relationships, agreements and key compliance records
- Help implement and shape our CRM and operational workflows
- Identify opportunities to automate, streamline and improve repetitive processes
- Document processes so Orbispace can scale without unnecessary complexity
- Work across the team to ensure new systems are practical, adopted and genuinely practical
- Bring ideas to the table about how we can work smarter as we grow
?️ Events & experiences
You’ll also play a leading role in delivering our three flagship events each year, bringing together students, mentors, industry leaders and partners to create experiences that can influence the future of Australia’s STEM talent.
You will coordinate:
- Venues, AV, catering, merchandise and suppliers
- Registrations, run sheets and event-day logistics
- Judges, mentors, volunteers and industry guests
- Risk management and duty of care for events involving school students
- Sponsor deliverables and VIP logistics
- Major partner events and stakeholder experiences
We are a small and growing organisation; therefore, your individual contributions will be visible.
You will work closely with leadership and the people making decisions. Your ideas will be heard, and the systems and experiences you create will directly influence our ability to reach more young people.
There is also opportunity to grow with the organisation as we scale nationally.
If you’re energised by responsibility, enjoy solving problems, love bringing people and moving parts together, and want your work to have a purpose, this could be a great role for you.
What we're looking for
- Ideally experience in a startup, scale up or small business
- Events or agency workplace
- Education organisation
- Community or not-for-profit organisation
- Project or operations role
- Experience working with schools or young people is desirable
You will thrive if you have:
- 3+ years’ experience across operations, events, project coordination or a similar role
- Experience implementing, rebuilding or meaningfully managing a CRM, workflow or operational system
- Experience delivering events involving multiple stakeholders
- Strong organisational skills and confidence managing competing priorities
- An instinct to improve how work gets done rather than simply follow existing processes
- Comfort using AI tools in your day-to-day work, or genuine curiosity about how technology can help us work smarter
- The confidence to work independently, take ownership and make sensible decisions
- A current Working with Children Check, or eligibility to obtain one in NSW and Victoria
What matters most is that you’re organised, proactive, curious, solutions-focused and excited by the opportunity to build something meaningful.
Why join Orbispace?
? Help shape Australia’s future
STEM will play a defining role in Australia’s future — from technology and engineering to space, AI, science and innovation.
We want more young people, and particularly more young women, to see themselves as part of that future.
? Join at an exciting stage of growth
We’re entering an important new chapter, expanding beyond NSW and building the foundations for national growth.
You’ll be joining at a stage where what you do can genuinely shape what comes next.
? Work with inspiring people
You’ll collaborate with educators, students, mentors, STEM professionals, corporate partners, sponsors and industry leaders, bringing together people who care about creating more opportunities for the next generation.
We’re looking for someone who is energised by responsibility, loves making things happen and wants to use their skills for something that matters.
Someone who is able to multi-task and attend to a room full of 200+ students while keeping the finer details under control and operating smoothly.
