Bibra Lake

Operations Manager

Full-time | Monday to Friday | Bibra Lake

PetraClean is an established and growing WA-owned commercial cleaning business with more than six decades of experience. Our team of more than 50 Cleaning Team Members services over 160 customer sites, delivering more than 450 shifts each week.

We’re looking for an Operations Manager to oversee how this work is organised, supported and delivered. You’ll lead our Service Delivery, Scheduling and Quality & Safety functions, making sure they work together, resolve problems and follow through on their responsibilities.

About the role

Based at our Bibra Lake office and reporting to the General Manager, you’ll be responsible for the overall performance of our operations.

Your focus will be on overseeing and supporting the operations team, ensuring each person understands their responsibilities, has what they need to succeed and completes their work to the required standard. You’ll coordinate priorities, remove barriers and follow up on outcomes, rather than personally carrying out each operational task.

You’ll make sure the right people are dealing with the right issues and that actions are completed. This could mean coordinating a plan for uncovered shifts, reviewing recurring customer complaints, ensuring equipment repairs are arranged or checking that a new site is ready before its first clean.

You’ll support the people leading each function, set clear expectations and address problems early. You’ll also make day-to-day operational decisions within your authority, giving the CEO confidence that operations are being managed effectively.

What you’ll be responsible for

- Leading the operations team. Meet regularly with the people responsible for Service Delivery, Scheduling and Quality & Safety. Review priorities and results, agree on actions and follow up when commitments are missed.

- Making sure shifts are covered. Oversee roster accuracy and staffing capacity. Ensure the team has a workable plan for absences, vacancies and recent customer requirements, and involve HR early when recruitment or training is needed.

- Keeping cleaning services on track. Review missed cleans, service issues and customer feedback. Make sure problems have a clear owner and deadline, and check that the agreed action has resolved the issue.

- Preparing for new sites and additional work. Confirm that the agreed scope, staffing, access, equipment, products and site instructions are in place. Coordinate the setup and handover so the team can deliver from the agreed start date.

- Ensuring the team has what it needs. Oversee warehouse stock, purchasing and site supplies. Make sure stock checks, orders and deliveries happen on time, with accurate records provided to Finance.

- Keeping vehicles and equipment serviceable. Oversee maintenance, repairs and replacement planning for our three vehicles and cleaning equipment. Ensure faults are addressed before they disrupt services or create safety risks.

- Following through on quality and safety. Ensure site inspections are completed, findings are acted on and recurring problems are investigated. Make sure incidents and risks receive the appropriate response, instructions and controls.

- Making processes easier to follow. Keep responsibilities, deadlines and handovers clear.

Improve practical processes for tasks such as site setup, replenishment, maintenance and complaint resolution so work does not get lost between teams.

- Managing operational costs. Monitor labour, overtime, consumables and maintenance expenditure against approved budgets. Identify avoidable waste and ensure operational information needed for payroll and reporting is accurate and timely.

- Working across the business. Work with Sales and Account Management before new or changed services are agreed, with HR on workforce needs and with Finance on purchasing, costs and records.

- Keeping Management informed. Provide clear updates on operational performance, unresolved issues and recovery plans. Escalate significant risks or decisions outside your authority with a recommendation and an explanation of the resources required.

About you

You’re an organised, practical manager who can keep an overview of a busy operation while making sure the details are being handled.

You’ll bring

- Experience managing operations across multiple sites or a dispersed workforce, in commercial cleaning, facilities services or a comparable service business.

- The ability to lead team leaders, delegate clearly and hold people accountable while providing the support they need.

- Experience coordinating staffing, service delivery, quality and operational resources.

- Confidence making decisions, managing competing priorities and resolving problems.

- An approach that looks beyond the immediate fix to prevent the same issue happening again.

- Clear communication skills and the ability to work constructively with customers, colleagues and suppliers.

- Confidence using scheduling, task management and reporting.

- Cleaning industry experience is desirable, but not essential.
