About the Role

As the first point of contact for Skin Societe Rockingham, you’ll play an important role in creating the exceptional client experience we’re known for.

We’re looking for an experienced, well-presented and personable coordinator to work closely with our team. While previous experience in a medical or aesthetic clinic is not essential, strong sales and administrative experience in any industry is highly valued.

You’ll be joining a close-knit team that values professionalism, warmth, attention to detail and exceptional client care. Client comfort and satisfaction are at the heart of everything we do, and we expect our reception team to embody this philosophy in every interaction.

About You The successful applicant will have:

- The ability to learn quickly, work independently, take initiative and use problem-solving skills





- Previous Administration and/or customer service experience is essential

- Knowledge or experience within the cosmetic and aesthetic industry highly regarded

- Excellent communication skills, with strong grammar, spelling and numeracy

- Minimum Year 12 education

- Strong computer skills, including Microsoft Office, Word, Excel and exposure to AI software/tools.

- Experience with clinic management software such as Phorest or Cosmelcloud highly regarded

- Previous sales experience beneficial

- Confidence using cameras and social media

- Excellent organisational and time-management skills

- Strong attention to detail and the ability to work accurately

- A warm, outgoing personality and exceptional telephone manner
- A professional, polished and well-presented appearance

- Honesty, reliability and a strong work ethic

Your Responsibilities

Your role will be varied and hands-on, including:

Reception & Client Experience

- Answering phone enquiries and managing incoming calls

- Responding to emails and online enquiries

- Greeting clients and creating a warm, welcoming experience

- Managing bookings and appointments

- Monitoring client flow and ensuring appointments run efficiently

- Managing waitlists and call lists

- Following clinic protocols and procedures

- Processing payments,



receipting, end-of-day accounts and banking

Client Consultations & Sales

- Providing quotes for treatments and services

- Engaging with clients about our treatments, products and services

- Building strong client relationships and encouraging future bookings

- Supporting the team with sales and clinic growth

Treatment & Clinic Support

- Preparing clients for treatments

- Consulting with the Nurse post treatment in making sure the checkout process is run smoothly

- Setting up and supporting the Nurse with requirements for the clinic room

- Stocktake and ordering products as required

- Assisting with general clinic presentation and cleaning

- Taking patient photography
