About the role The position has been created in response to business growth and works closely with the HR Manager. It owns day-to-day People Culture administration and coordination across the employee lifecycle, recruitment, onboarding and offboarding, employee experience, HR systems, compliance, learning and development, reporting, and broader People Culture initiatives. The role also supports process simplification and improvement through digital tools, automation, and artificial intelligence.
Key responsibilities:
Employee Lifecycle & HR Administration
- Maintain accurate and up-to-date employee records, files and HR systems.
- Prepare standard employment documentation, including contracts, variation letters and employee correspondence, using approved templates.
- Coordinate employee changes including new starters, changes to hours, reporting lines and departures, and communicate approved changes to payroll and other stakeholders.
- Maintain employee contact lists, organisation charts and other employee information.
- Monitor key dates including probation periods, contract end dates and work rights/visa expiry dates, escalating upcoming actions to the HR Manager.
- Respond to general employee queries and escalate matters requiring HR advice or judgement.
Onboarding & Offboarding
- Coordinate onboarding from offer through to commencement, including new starter documentation and welcome packs.
- Coordinate IT equipment, system access, desk allocation, building access, inductions and relevant role/product training.
- Follow up with managers and new starters to ensure onboarding activities are completed.
- Coordinate employee departures, including offboarding checklists, system access removal and return of company property.
- Schedule exit interviews with the HR Manager and coordinate relevant information with payroll and other stakeholders.
Recruitment
- Post and maintain approved job advertisements.
- Review and screen applications against agreed role requirements.
- Coordinate interviews and candidate communications throughout the recruitment process.
- Coordinate reference checks, background checks and other pre-employment requirements.
- Maintain accurate recruitment and candidate records.
- Support preparation of contracts and onboarding documentation for successful candidates.
People Systems, Compliance & Reporting
- Onboard and offboard employees across HR systems.
- Maintain accurate employee information across People & Culture systems and support regular employee file and documentation audits.
- Monitor completion of mandatory training and follow up outstanding requirements.
- Maintain People & Culture templates, forms and process documentation and support other compliance activities as required.
- Maintain monthly employee turnover and headcount reporting and assist with broader People & Culture reporting and workforce data.
- Support data preparation for annual activities including performance and remuneration reviews and help ensure employee information is consistent across systems.
Culture & Employee Experience
- Prepare and distribute the monthly employee newsletter and support People & Culture communications across the business.
- Participate in the Culture Club and support employee recognition, wellbeing and engagement initiatives.
- Coordinate quarterly employee events with support from the HR Manager.
- Assist with employee engagement surveys, including communications, administration, feedback collation and action tracking.
- Assist the HR Manager with reviewing employee benefits and researching potential improvements.
Learning & Development
- Coordinate internal and external training activities.
- Schedule mandatory, product and role-specific training.
- Maintain training and completion records and follow up outstanding requirements.
Process Improvement, Technology & AI
- Work with the HR Manager to identify opportunities to simplify and improve People & Culture processes.
- Help maintain and improve workflows, checklists, templates and process documentation.
- Explore practical ways existing and emerging technology, including AI and automation, could reduce repetitive administration and improve People & Culture processes.
- Assist with testing and implementing simple process improvements while maintaining confidentiality, accuracy and appropriate human oversight.
- Proactively bring forward ideas about how the People & Culture function can work more efficiently and effectively.
About You
- Around 1–3 years’ experience in a People & Culture, HR administration or coordination role, with exposure to recruitment, onboarding, employee administration or other employee lifecycle activities.
- Strong organisation and attention to detail, with the ability to manage competing priorities and follow tasks through to completion.
- Good written and verbal communication skills and confidence dealing with employees and managers at different levels.
- Sound judgement and discretion when handling confidential employee information.
- Confidence learning and using different systems and technology, with an interest in digital tools, automation and AI.
- A proactive, collaborative and approachable working style, with initiative and a continuous improvement mindset.
- Curiosity about how processes can be simplified or improved, and willingness to explore and test new ways of working.
- A qualification in Human Resources, Business or a related discipline would be advantageous but is not essential.
