About the Role
YMAC is seeking a Project Coordinator - PBC Capacity Building to join the Prescribed Body Corporate Executive Office team. The team provides governance and capacity building services to a range of Prescribed Body Corporates (PBCs) across the Pilbara and Yamatji regions.
The Project Coordinator - PBC Capacity Building is responsible for coordinating the delivery of YMAC’s PBC Capacity Building Program, ensuring activities are planned, implemented, monitored and reported in accordance with the funding agreement and agreed project outcomes.
Working across multiple capacity building workstreams, PBCs, internal business units and external contributors, the role will coordinate project planning, governance, monitoring and reporting to support effective delivery. The position will also work closely with participating PBCs to ensure activities are practical, appropriately sequenced and responsive to each corporation’s priorities and operating circumstances.
Key areas of responsibility include coordinating annual workplans and project activities, maintaining project governance and controls, monitoring milestones and budgets, preparing progress and milestone reports, collecting evidence of delivery, supporting evaluation and sustainability planning, and coordinating project closure and acquittal requirements.
The role will also coordinate staff, consultants and internal contributors, facilitate project delivery meetings, monitor risks and dependencies, and support effective engagement with participating PBCs throughout the life of the program.
About You
You will have demonstrated experience coordinating complex projects or grant-funded programs involving multiple workstreams, contributors and stakeholders. You will be highly organised and able to translate funding agreements, strategies and program objectives into practical workplans,
schedules, responsibilities, milestones and deliverables.
You will have strong project governance and coordination skills, with experience monitoring scope, milestones, risks, issues, dependencies, budgets and delivery performance. You will be confident collecting and validating project evidence and preparing clear, accurate and timely project, grant, milestone and executive reports.
You will be an effective communicator and relationship builder, with the ability to engage respectfully with Aboriginal organisations, Traditional Owners, Boards, communities and a range of internal and external stakeholders. You will bring a collaborative approach and the ability to facilitate discussions, coordinate contributors and maintain positive working relationships.
You will be highly analytical and solutions-focused, with strong problem-solving and risk-management skills and the ability to identify delivery issues and coordinate practical corrective action. You will be able to work independently, exercise sound judgement and manage competing priorities in a changing and deadline-driven environment.
Experience with Australian Government grants, funding agreements, performance measures, financial monitoring, reporting and acquittal requirements will be highly regarded. Knowledge of PBCs, native title governance and the operating environment of Aboriginal corporations will also be desirable.
A current driver's licence and the willingness and ability to undertake regional travel, including to remote areas when required, is essential.

Selection Criteria
Experience
- Demonstrated experience coordinating complex projects or grant-funded programs involving multiple workstreams, contributors and stakeholders.
- Demonstrated ability to translate funding agreements, strategies or program objectives into practical workplans, schedules, responsibilities, milestones, performance measures and deliverables.
- Experience establishing and maintaining project governance and controls, including monitoring scope, milestones, risks, issues, dependencies, budgets and delivery performance.
- Experience collecting and validating evidence of delivery and preparing accurate project, grant, milestone or executive reports supported by financial and performance information.
- Demonstrated stakeholder engagement and facilitation experience, including working
- respectfully and effectively with Aboriginal organisations, Traditional Owners, Boards and communities.
- Experience supporting evaluation, transition, sustainability or project closure activities, including handover, acquittal and lessons learned.
- Current driver's licence and willingness and ability to undertake regional travel, including remote areas when required.
Skills
- Highly developed organisational and coordination skills, with the ability to manage competing priorities, contributors and deadlines while maintaining focus on overall project outcomes.

- Proficiency in Microsoft Office and the ability to use project, document and information-management systems to maintain accurate records and monitor delivery.
- Ability to work independently, exercise sound judgement and contribute collaboratively in a changing and deadline-driven environment.
Desirable
- Relevant tertiary qualification or equivalent experience in project management, program delivery, public administration, community development, business or a related field.
- Experience administering Australian Government grants, including funding agreements, performance measures, financial monitoring, reporting and acquittal requirements.
- Knowledge of PBCs, the Corporations (Aboriginal and Torres Strait Islander) Act 2006, native title governance and the operating environment of Aboriginal corporations.
