Primary objective

Provide comprehensive, confidential, project support to the work unit, including administrative coordination, and Ministerial

Liaison support.

Context statement The position supports work unit responses to emerging needs, contributes to ad-hoc and planned reporting and correspondence, and provides Secretariat assistance across multiple committees to ensure the achievement of governance,

strategic and operational requirements.

Key duties and responsibilities

- Provide comprehensive administrative project support to the unit which may include:

- Providing high level project support including minute taking and logistical support to working groups, committees and

events.




- Provide Secretariat services to support the agency’s governance committee structure
- Provide high-level project support and on work unit projects including monitoring the generic email accounts and

provide responses to queries or coordinate responses across the agency.
- Maintaining appropriate administrative systems, registers, processes, databases and record management ensuring

effective and productive workflows within the unit
- Managing a range of unit financial functions including travel arrangements, purchasing and processing transactions,

and any other support functions
- Supporting working groups, committees and for events/functions the Executive/ work unit are involved with.

Selection criteria

Essential

- Well-developed written and oral communication skills with the ability to liaise with staff and stakeholders at all levels.
- High level of attention to detail to maintain high standards of accuracy in document review and formatting.
- Ability to work with minimal supervision, use initiative and manage own priorities to deliver on outcomes.
- Sound organisational skills with the ability to manage own priorities and contribute to, and work as, part of a small team.
- Adaptable and resilient, with the ability to adjust to changing priorities and difficult situations in a calm manner.
- Well-developed computer literacy skills to use a range of IT software, web-based technologies, computerised reporting systems, document management systems and mainframe packages.
- Demonstrated ability to work with people from diverse cultures and observe confidentiality.

Desirable

- Experience in using NTG systems to deliver high-quality administrative support
