Recruitment Coordinator - FT Position

Fast-paced environment | High-volume recruitment | Candidate mobilisation Topdrill is looking for a highly organised, proactive and driven Recruitment Coordinator to join our growing team and play a critical role in getting candidates ready for site.

This is a quick-paced role where organisation, urgency and attention to detail matter. Working closely with our recruitment team, you will coordinate the end-to-end mobilisation process, ensuring candidates move efficiently from interview through to medical, compliance and site readiness.

About the Role

As our Recruitment Coordinator, you will provide essential support to the recruitment team and take ownership of the coordination and administration required to mobilise candidates efficiently.

Your responsibilities will include

- Coordinating candidate medicals, drug & alcohol testing and other pre-employment requirements
- Gathering, checking and maintaining all candidate compliance documentation
- Tracking candidates through each stage of the recruitment and mobilisation process
- Following up outstanding documentation, medicals, inductions and compliance requirements
- Ensuring candidates are fully site-ready within required timeframes
- Maintaining accurate recruitment and mobilisation records and systems
- Working closely with recruiters to prioritise urgent vacancies and mobilisation requirements
- Communicating with candidates regularly to keep them informed and engaged throughout the process
- Liaising with medical providers, training providers and other external stakeholders
- Identifying potential delays or issues early and proactively finding solutions
- Supporting high-volume recruitment campaigns and mobilisation requirements
- Providing regular updates to the recruitment team on candidate progress and outstanding actions




- Managing multiple priorities and deadlines without losing attention to detail
- Assisting the wider recruitment team with general coordination and administration as required

About You

We're looking for someone who is highly organised, proactive and comfortable working at pace.

You will ideally have

- Previous experience in recruitment coordination, mobilisation, HR administration or a similar high-volume environment
- Strong organisational and time-management skills
- Excellent attention to detail
- The ability to manage multiple candidates and competing priorities simultaneously
- A proactive approach — you don't wait for someone to tell you what needs to be done
- Strong communication and follow-up skills
- The ability to work under pressure and meet tight mobilisation deadlines
- Confidence working with recruitment systems, spreadsheets and databases
- A strong understanding of confidentiality and candidate information
- A team-focused attitude and the ability to support multiple recruiters effectively
- The ability to identify bottlenecks and escalate issues before they impact mobilisation

What Success Looks Like

In this role, you'll be the person who makes sure nothing falls through the cracks. Our recruiters will rely on you to keep candidates moving, medicals booked, compliance completed and outstanding items followed up.

You'll need to be comfortable asking:

"What's holding this candidate up, and what can I do to fix it?" rather than waiting for someone else to identify the problem.
