Reports to: Group Financial Controller The Office Assistant supports the finance and operations functions across the Haggarty Group's entities. The job is more than general administration. The person in it will do analysis and process-improvement work: building and maintaining spreadsheet tools, mapping and documenting processes, reconciling data, and writing standard operating procedures (SOPs). Together these help the Group run more efficiently and consistently.
Key Responsibilities
- General administration - Handle correspondence, filing, record-keeping, data entry and scheduling. Give day-to-day administrative support to the finance and operations teams.
- Spreadsheets and reporting - Design, build and maintain Excel workbooks, including pivot tables, lookups and dynamic reporting. Develop and maintain macros (VBA) to automate repetitive tasks.
- ERP integration - Build integrated spreadsheets that import data into, and extract data from, the Group's ERP system(s). Keep data structured, validated and correctly mapped.
- Process mapping - Document current-state and future-state business processes. Identify inefficiencies, control gaps and automation opportunities.
- Data analysis - Analyse operational and financial data to support decisions. Prepare transparent summaries and reports for management.
- Reconciliations - Perform and review reconciliations, such as balance sheet, intercompany, supplier and system-to-system reconciliations. Investigate variances and resolve them.
- Documentation and SOPs - Draft, maintain and version-control SOPs, process documentation and data dictionaries.
Make sure documentation is accurate, accessible and kept up to date.
- Collaboration - Work with staff across entities and functions to gather requirements, confirm how processes work in practice and put improvements in place.
- Continuous improvement - Use appropriate tools, including AI tools such as Claude, to improve the quality and speed of analysis, documentation and reporting.
Essential
- Demonstrated experience in an administrative, business analyst or finance support role.
- Advanced Excel skills, including pivot tables, complex formulas (e.g. XLOOKUP, INDEX/MATCH, SUMIFS) and macros/VBA.
- Experience building spreadsheets that integrate with ERP or accounting systems, such as import templates and data extracts.
- Demonstrated ability in process mapping, for example using flowcharts, swimlane diagrams or Visio/Lucidchart.
- Strong data analysis and reconciliation skills, with close attention to detail.
- Proven ability to write clear process documentation and SOPs.
- Strong written and verbal communication skills, and the ability to explain technical matters to non-technical staff.
- A collaborative approach, with the ability to manage competing priorities and meet deadlines.
Desirable
- Proficiency with Claude or similar AI tools for analysis, drafting and automation.
- Experience with Power Query, Power BI or similar data tools.
- Exposure to multi-entity environments (companies, trusts and partnerships).
- Tertiary qualification in business, accounting, information systems or a related field.
