The Orbispace Initiative is an education charity on a mission to help close the gender gap in STEM.
We run innovation programs for Year 8 and Year 10 students across 50+ schools throughout NSW, connecting young people, particularly girls, with industry leaders, mentors, investors and role models — giving them access to people and opportunities beyond the classroom.
We believe that when you change what a young person sees as possible for their future, you can help change the future itself.
We’re growing quickly. In 2027, we’re expanding into Victoria and continuing to build the hubs, programs, partnerships and relationships that will allow us to reach more young people across Australia.
This is where you come in.
We’re looking for a Schools Liaison Coordinator to become a key point of connection between Orbispace and the schools we partner with.
You will be the first point of contact for teachers and school administrators that know they can rely on you, ensuring they have the right information, support and communication they need from the moment they join an Orbispace program right through to delivery.
This is a role for someone who is highly organised, a relationship builder, an excellent communicator and someone who takes pride in getting the finer details right every time.
You will also have the opportunity to help shape how we manage our school relationships as we expand.
What you will own:
? Schools & relationships
You will be the day-to-day point of contact for participating schools and help make their experience with Orbispace seamless.
You will:
- Build strong, professional relationships with teachers, school executives, administrators and business managers
- Welcome and onboard new schools into Orbispace programs
- Respond to school enquiries clearly, warmly and promptly
- Manage school communications, updates, reminders and significant program information
- Coordinate registrations, enrolments, confirmations and attendance
- Follow up outstanding information, approvals and actions
- Keep schools informed when plans, requirements or timelines change
- Make sure teachers know exactly what they need to do and when
- Develop a strong understanding of the schools you work with and their individual needs
Coordination & administration
You will make sure the details behind each school’s participation are accurate, up to date and running smoothly.
This includes:
- Maintaining accurate school, teacher and student records
- Managing enrolment changes and individual participation requirements
- Following up service agreements and approvals with schools, dioceses and the Department of Education
- Keeping our CRM and other digital systems up to date
- Tracking actions, follow-ups and outstanding items
- Coordinating information between schools and our internal program team
- Handling student and school information carefully and appropriately
- You will need to be someone who spots the missing detail before it becomes a problem.
Improve how we work
As Orbispace grows, we want to continually improve and evolve the way we work with schools.
You’ll have the opportunity to:
- Improve school communications
- Help develop better onboarding processes and standardised templates
- Identify repetitive tasks that could be automated
- Improve CRM processes and information management
- Use AI and technology regularly to make your work more efficient
- Identify opportunities to make the school experience simpler and more consistent
- We’re not looking for someone who simply follows a process but creates and implements their own systems. If you see a better way, we want to hear it.
What we're looking for:
- An excellent communicator who can construct effective, warm, clear and professional comms across all channels
- Highly organised and naturally good at keeping track of multiple moving parts
- Reliable and responsive, with strong follow-through
- Relationship-focused and comfortable communicating with teachers, administrators and senior school staff
- Detail-oriented, particularly when managing records, enrolments and important information
- Confident with technology, including CRMs, spreadsheets and digital workflow tools
- A quick learner who enjoys picking up new systems and platforms
- Comfortable using AI tools to draft, summarise, organise or improve your work
- Confident following up with people when something needs to get done
- Comfortable working independently and taking ownership
- Naturally curious and always looking for ways to make things simpler
A current Working with Children Check, or eligibility to obtain one, is required. You don’t need to have worked in education before. Experience in customer success, account management,
administration, events, sales, partnerships, community organisations or other relationship-focused roles could all translate well into this position.
