Project Team Assistant

Key Responsibilities
- Provide high-quality administrative and business support to project managers, technical teams and leaders across a range of consulting projects.
- Coordinate meetings, calendars, travel arrangements and team activities, ensuring smooth day-to-day operations.
- Assist with the preparation and formatting of reports, presentations, proposals and client-facing documents, ensuring a professional and consistent standard.
- Support bid and proposal activities through document preparation, formatting, submission coordination and administration.
- Maintain project records, team documentation, filing systems and business information to support compliance and effective operations.
- Act as a central point of coordination for team requests, monitoring actions, following up outstanding items and helping teams stay organised.
- Coordinate onboarding, team events, meetings and internal communications as required.
- Support office operations, including facilities coordination, office supplies, equipment and general administration activities.
- Provide assistance with systems administration, data entry and reporting activities.
- Contribute to continuous improvement initiatives and support enhancements to business processes, systems and ways of working.
- Participate in learning, development and mentoring opportunities through the B&I; Pathways Program to support future career growth.
About You
- Demonstrated experience in a Team Assistant, Administrative Assistant, Executive Assistant, Office Coordinator or similar support role within a professional environment.
- Strong organisational and time management skills, with the ability to manage competing priorities and meet deadlines.
- Excellent attention to detail and a commitment to producing high-quality work.
- Strong written and verbal communication skills,
with experience preparing professional documents, reports or presentations.
- Confidence working with multiple stakeholders and building effective working relationships across teams.
- Proficiency with Microsoft Office Suite and the ability to quickly learn new systems and processes.
- A proactive, positive and adaptable approach, with a willingness to take initiative and support others.
- A genuine interest in professional services, infrastructure, property, engineering or project environments.
- Motivation to undertake part-time study while working, with study support available through the B&I; Pathways Program.
