Why Your Role Matters:
The Projects & Operations Administrator provides proactive operational, administrative and project support across a diverse portfolio of student experience initiatives in the Faculty of Arts, Design & Architecture (ADA).
Working across projects, events, communications, reporting and systems, the role combines behind-the-scenes coordination with direct engagement and support for students through programs, events and partnership activities. The role contributes to the effective delivery of team priorities while identifying opportunities to improve processes, solve problems and enhance team effectiveness.
The role reports to the Manager, Student Experience, works collaboratively across the Student Experience team to support faculty priorities, and has no direct reports.
Responsibilities Summary:
- Provide proactive operational, administrative and project support across student experience initiatives, including events, engagement programs, communications, equity initiatives and reporting.
- Support the coordination, delivery and evaluation of student experience projects, programs and events in collaboration with stakeholders.
- Administer student experience and equity initiatives, maintaining accurate records and contributing to the effective delivery and evaluation of programs and services.
- Provide administrative and operational support for meetings, workshops, events and initiatives, including venue bookings, catering, scheduling, logistics, resources and follow-up actions.
- Support evaluation activities, including data collection, maintenance and analysis, and contribute to reporting,
dashboards and tracking tools.
- Maintain and improve operational systems, tools, workflows, templates and documentation with solid attention to detail.
- Coordinate communications, presentations, reports and other materials for students, staff and stakeholders across a range of channels and platforms.
- Support student partnership and student voice initiatives, including student ambassador programs, clubs and societies engagement, consultation activities and feedback mechanisms.
- Provide financial administrative support for day-to-day team operations, including purchasing, payment processing, reconciliations, vendor processes and expenditure tracking.

Skills and Experience Summary:
- Relevant tertiary qualification with subsequent relevant experience, or equivalent competence gained through any combination of education, training and experience.
- Demonstrated experience providing proactive administrative, operational and coordination support across multiple projects, initiatives and events, including direct engagement with students and staff.
- Advanced organisational, time management and problem-solving skills, with a high level of attention to detail and the ability to manage competing priorities in a dynamic environment.
- Highly developed written and verbal communication skills, with the ability to prepare communications, reports and presentations and build effective relationships with a broad range of stakeholders.
- Experience maintaining and improving systems, processes, workflows, documentation and administrative practices to support effective and efficient service delivery.
- Well-developed computer literacy, including strong skills in Microsoft Office applications, particularly Excel, and confidence in learning and using new technologies and digital platforms.
Experience with event management and evaluation software is desirable but not required.
- Demonstrated ability to work independently and collaboratively, exercise initiative, maintain confidentiality and adapt to changing priorities and business needs.
