Position Overview - Senior Event Coordinator - Full Time Perm - Oatlands House
We are seeking a passionate, experienced and highly organised Senior Event Coordinator to join the Oatlands House event management team. This is a full-time, permanent position reporting to the Sales Manager and Venue Manager at Oatlands House, part of a team of 3 event coordinators, with no direct reports.
The Oatlands House team comprises a Venue Manager, Sales Manager, Operations and Sales team, and a two-person Event Coordination team. As the other Event Coordinator works part-time, this role is responsible for providing experienced leadership and taking ownership of the day-to-day event management function for the venue.
This is a fast-paced and dynamic position, with Oatlands House hosting approximately 5–20 events per week, and the Senior Event Coordinator managing a portfolio of at least five events each week. You will work closely with clients throughout the planning process, providing expert advice and coordinating all aspects of their event, including menu selections, floor plans, seating arrangements, styling, entertainment, live food stations, fireworks, dry ice effects and other event enhancements.
You will manage multiple events simultaneously, ranging from events taking place within the coming weeks to those scheduled 12 months or more in advance, across weddings, corporate functions, gala dinners, conferences, fundraising events and other special occasions. As the primary point of contact for your clients, you will build strong relationships, provide professional guidance and ensure every detail is carefully planned, communicated and delivered to Navarra’s high standards of service and hospitality.
Event Coordinators utilise Navarra’s CRM system to manage the complete client journey, ensuring all event requirements,
communications and documentation are accurately recorded and maintained through to successful event delivery.
Weekend work is an essential requirement of this position, as the majority of events take place on weekends. The standard roster will generally be five days per week, worked across Tuesday, Wednesday, Thursday, Friday, Saturday and/or Sunday, depending on the event schedule.
Key Responsibilities
- Manage a portfolio of weddings, corporate events, gala dinners, conferences, and special events from enquiry through to event completion.
- Serve as the primary point of contact for clients throughout the event planning process.
- Conduct planning meetings and consultations with clients to understand their requirements and event vision.
- Coordinate event logistics including timelines, run sheets, floor plans, seating arrangements, menus, styling, entertainment, and special event elements.
- Prepare detailed event orders and function documentation to support operational teams.
- Ensure all client information, event details, and communications are accurately maintained within the Navarra CRM system.
- Liaise with venue operations, kitchen, beverage, styling, audiovisual, entertainment, and external suppliers to ensure successful event delivery.
- Upsell event enhancements and additional services that add value to the client experience.
- Monitor event budgets and ensure all client requirements are captured and invoiced correctly.
- Attend and oversee events as required to ensure service standards and client expectations are met.
- Build and maintain strong relationships with clients, suppliers, and internal stakeholders.
- Resolve client enquiries and issues promptly and professionally.
- Ensure all events comply with venue policies, operational requirements, and workplace health and safety standards.
- Contribute to continuous improvement initiatives and the enhancement of the overall client experience.
About You
To be successful in this role, you will have:
- Previous experience in event coordination, event management, hospitality, venue operations, or a similar client-facing role.
- A qualification in Event Management, Hospitality Management, Business, or a related field (preferred).
- Strong organisational and time management skills with the ability to manage multiple events simultaneously.
- Exceptional customer service and relationship management skills.
- Excellent written and verbal communication skills.
- Strong attention to detail and problem-solving abilities.
- Confidence working in a fast-paced environment with competing priorities and deadlines.
- Experience using CRM systems and event management software (preferred).
- A flexible approach to working hours, including weekends and public holidays.
- A passion for delivering exceptional events and memorable client experiences.
