Ipromea is a growing pet health business specializing in pet nutrition, probiotics and health-related products.
We are looking for a hands-on Accounts & Operations Coordinator to support the day-to-day financial and operational activities of the business.
This is a varied role suited to someone who enjoys working across bookkeeping, e-commerce, inventory, order processing and general administration rather than being limited to one area.
Key Responsibilities
Accounts & Bookkeeping
Maintain day-to-day bookkeeping records
Perform bank and credit card reconciliations
Reconcile Shopify, Afterpay and other payment platforms
Reconcile e-commerce sales, fees, refunds and settlements
Assist with accounts receivable and accounts payable
Assist with month-end reconciliations and provide supporting information
Customer Orders & Fulfilment
Monitor and process online orders received through Shopify and other e-commerce platforms
Prepare orders for fulfilment and dispatch
Arrange freight and shipping with Australia Post and other carriers
Maintain accurate dispatch and tracking information
Process returns, refunds and order adjustments where required
Respond to customer enquiries relating to orders, deliveries and payments
Reconcile online sales and payment platforms to the accounting system
Process commercial and wholesale customer orders in Cin7
Coordinate stock availability and order fulfilment




Liaise with customers and internal teams regarding order status and delivery requirements
Purchasing & Accounts Payable
Maintain accurate product and inventory records across Cin7, Shopify and Xero
Raise and process purchase orders in Cin7
Coordinate purchase orders and deliveries with suppliers
Process supplier bills and credit notes
Match purchase orders, goods received and supplier invoices
Investigate pricing, quantity and invoice discrepancies
Reconcile supplier statements and follow up outstanding documentation
Prepare supplier payment runs and bank payment files for review and approval
About You
We are looking for a practical and highly organised all-rounder who enjoys taking ownership of day-to-day transactions and operations.
Ideally, you will have:
3+ years' experience in bookkeeping, accounts administration, order processing or a similar all-round role
Robust working knowledge of Xero
Solid accounts payable and reconciliation experience
Experience processing purchase orders, supplier invoices and payment runs
Experience working with inventory, stock or product-based businesses
Experience processing customer orders and coordinating fulfilment or dispatch
Good Excel skills and strong attention to detail
Confidence communicating with customers, suppliers and freight providers
Ability to manage multiple priorities and follow transactions through from start to finish
Experience with Cin7, Shopify, Afterpay, Australia Post or similar inventory/e-commerce platforms will be highly regarded.
