Medical Secretary / Surgical Coordinator – Specialist Plastic Surgery
An opportunity is available for an experienced Medical Secretary / Surgical Coordinator to join an established specialist plastic and reconstructive surgical practice in St Leonards.
This is a permanent part-time position suited to someone with previous experience in a private specialist or surgical practice.
The successful candidate will take responsibility for patient administration, surgical coordination and associated workflows within a well-established practice.
The practice manages a broad range of patients across plastic and reconstructive surgery, skin cancer surgery, trauma and elective procedures.
The role therefore involves considerably more than routine front-desk reception.
We are looking for someone experienced, organised and dependable who can manage their responsibilities independently, communicate confidently with patients and healthcare providers, and ensure administrative matters are followed through accurately and efficiently.

Key responsibilities
Managing patient enquiries by telephone and email in a professional, helpful and compassionate manner
Coordinating consultations, procedures and surgical bookings
Liaising with public and private hospitals, operating theatres and other healthcare providers
Preparing surgical quotes, estimates and associated patient documentation
Managing Medicare, private health fund and medical billing administration
Processing and triaging referrals, and ensuring appropriate documentation is available
Coordinating correspondence with referring practitioners and other specialists
Managing appointment schedules and assisting with theatre coordination
Following outstanding administrative matters through to completion
Assisting with third-party administrative requirements where required
Managing appointment schedules and assisting with theatre coordination
Maintaining accurate patient records and appropriate confidentiality
Contributing to the efficient day-to-day running of the practice
About you
We are particularly interested in applicants with previous experience working as a medical secretary within a private specialist or surgical practice.
You will ideally have:
At least 2 years' relevant specialist medical-secretary experience
Experience coordinating surgical bookings and liaising with hospitals
Experience with Medicare, private health funds and medical billing




Excellent written and verbal communication skills
Strong organisational skills and exceptional attention to detail
Confidence communicating with patients regarding appointments, surgery, costs and administrative requirements
The ability to prioritise competing tasks and work independently
Good judgement and an ability to recognise when matters require escalation
A proactive approach and willingness to take ownership of your responsibilities
A high level of discretion, reliability and professionalism
Strong computer skills and experience using medical practice-management systems
Experience in plastic surgery, dermatology, orthopaedics, ENT, ophthalmology or another specialist surgical practice would be highly regarded.
Experience with Xestro is welcome but not essential; candidates with experience using other specialist medical practice-management systems are encouraged to apply.
Most importantly, we are looking for someone who takes ownership of their work.
The successful candidate will be comfortable identifying what needs to be done, following matters through to completion and helping ensure patients and administrative tasks are managed efficiently.
