About the Role
As aContracts Administratorat Paint Melbourne, you willmanage contracts, compliance, financial tracking, and project coordinationto ensure smooth operations acrosscommercial and industrial projects.
You'll be responsible forcontract lifecycle management, tracking variations and progress claims, ensuring compliance with industry regulations, and supporting lead qualification and estimator scheduling.
This role also involvesoffice administration, overseeingrostering, scheduling, document control, and risk managementto supportefficient project execution.
You will work closely withsales, operations, and finance teams, ensuring all projects are deliveredon time, within scope, and fully compliant.

Key ResponsibilitiesContracts & Compliance
Prepare, review, and managecontractsto ensurelegal, financial, and operational compliance.
Trackproject variations, progress claims, and retention releases.
Overseesubcontractor agreements, supplier contracts,



and insurance requirements.
Office & Project Administration
Managescheduling, rostering, and internal meetings.
Ensureaccurate document controlacrossGoogle Workspace, Close.io, AroFlo, Simpro, and Xero.
Maintainrisk registersand trackcontractual risks.
Sales & Lead Qualification
Oversee thelead qualification process, ensuringonly high-value projectsmove forward.
Schedule estimatorsand prioritizebusiness-critical opportunities.
Ensurequotes meet turnaround targets.
Project Coordination & Closeout
Ensureall projectshavecompleted contract administration checklistsbefore starting.
Work withsite teamsto trackproject milestonesand alignbilling with progress.
Overseeproject closeout documentation and compliance requirements.
Who You Are
Experience inbusiness development/client management, contract administration, office management, or project coordination(construction/trade industry preferred).
Strong understanding ofANZSIC contract structures, Australian Standards, and compliance.
Proficient inCRM/job management software(Close.io, Simpro, AroFlo, HubSpot, or similar).
Ability to interpret and managecontracts, variations, and claims.
Skilled inproblem-solving, negotiation, and communication.
Experience withrostering & scheduling tools(Deputyor similar).
Required Skills & Experience




Education:MinimumDiplomain a relevant field.
Experience:At least5 yearsinsales, business development, project management, contract administration, or estimating.
Systems & Procedures:Experience followingexisting processesandcreating/updating documented procedures.
Technical Skills:
Advancedcomputer literacy- proficient inMicrosoft Office, Google Workspace, and project management software.
Ability toorganize files, create presentations, and develop template documents.
Strong knowledge ofproject planning, drawings, and document management.
Financial planning and budgeting skills.
Basicmath skills(multiplication, subtraction, division, plusGST and Ex-GST calculations).
Communication:Excellent written and verbal communication skills.
Transport:Full driver's licenseandreliable transport preferred(may be included in the package).
