Executive Assistant
Full Time Permanent Position- Hobart, Tasmania
Join CatholicCare Tasmania as an Executive Assistant, providing high-quality administrative and coordination support to the CEO and Executive Leadership Team.
CatholicCare Tasmania is the primary social services agency of the Catholic Church across Tasmania. We have 60 years’ experience delivering a wide range of services and support to improve individual, family and community wellbeing. Our services are available and open to all with a particular focus on families, young people and children.
About the Role
Reporting to the Chief Executive Officer (CEO), the Executive Assistant provides high-quality administrative and coordination support to the CEO and the Executive Leadership Team (ELT).
The position is primarily focused on efficient diary management, coordination of meetings and communications, and providing day-to-day executive support that enables the effective functioning of the CEO and ELT. It is a flexible role that adapts to the requirements of changing priorities and handles all situations with utmost diplomacy and respect.
Key Responsibilities
- Coordinate and manage executive diaries, appointments, correspondence, documentation and events to ensure the effective use of executive time and resources.
- Coordinate travel, accommodation and associated logistics for the CEO and Executive Leadership Team.
- Assist with the preparation, formatting and distribution of reports, presentations and briefing materials.
- Act as a central point of contact for enquiries directed to the CEO's office.
- Build and maintain positive and professional relationships with internal and external stakeholders.
- Coordinate the preparation and distribution of meeting papers for executive, board, committee and internal and external meetings as required.
- Record, prepare and distribute accurate meeting minutes for executive, board, committee and internal and external meetings as required, this may include meetings which are outside of normal business hours.
- Support the efficient operations of the CEO office and executive administration functions.

Selection Criteria
1. Demonstrated proficiency in Microsoft Office 365 applications, including Outlook, Word,
Excel, PowerPoint, Teams and SharePoint, with the ability to prepare professional correspondence, reports and presentations.
2. Well-developed judgement, problem-solving and relationship-management skills, with the ability to maintain confidentiality, discretion and professionalism at all times.
3. Excellent personal presentation, written and verbal communication skills with the ability to meet and greet with staff and visitors at all levels of seniority.
4. Highly developed time management skills with the ability to meet competing deadlines.
5. Excellent organisational skills for maintaining diaries and making appointments with proven ability to manage multiple tasks and reminders on behalf of others in a respectful and diplomatic manner.
6. Proven flexibility and adaptability to transition between executive level duties and providing support to the administration team - from greeting senior stakeholders to supporting general office housekeeping and administrative tasks.
