To provide parental leave cover, we are seeking an experienced, organised and approachable Office & Administration Manager to lead our administration team and oversee the effective day-to-day operation of our Brunswick East practice.
About the opportunity
You will directly manage an administration team of approximately eight full-time, part-time and casual employees, with support from a Senior Administrator. You will also oversee the administrative coordination of approximately 30 practitioners.
Working closely with the Operations & Business Development Manager, Director, Clinical Managers and Team Leader, you will help ensure that SHIPS continues to provide responsive client service, efficient administrative support and a positive experience for clients, practitioners and employees.
Key Responsibilities
In this varied role, you will:
- lead, support and develop the administration team
- oversee rosters, leave, workload allocation and daily team priorities
- coordinate recruitment, onboarding, induction, training and performance processes for administration employees
- oversee reception, booking systems, administrative workflows and client-service standards
- support practitioner scheduling, availability and caseload administration
- assist staff to manage complex or sensitive client-service matters
- ensure clinical-risk, safety and critical-incident matters are promptly escalated to the appropriate clinical or senior leader
- support the implementation and consistent application of policies and procedures
- oversee routine financial administration, including invoicing, payments, expenses and reconciliations
- coordinate clinic maintenance, cleaning, equipment, supplies and external contractors
- protect the privacy, confidentiality and security of client, employee and practitioner information; and
- identify opportunities to improve administrative systems, client experience and practice operations.
About You
You will be a calm, capable and people-focused manager who can balance supportive leadership with clear expectations and accountability. You will bring:
- demonstrated experience managing an administration or client-service team within a healthcare setting
- experience overseeing workflows, rosters, performance and competing operational priorities
- highly sensitive and thoughtful communication skills
- sound judgement when managing confidential, trauma-informed or emotionally complex matters
- strong organisational, planning and problem-solving skills
- excellent attention to detail
- confidence using practice-management or comparable business systems
- experience with routine accounts, billing or reconciliation processes
- a warm,
qualified and client-focused approach
- the ability to collaborate effectively across administrative, practitioner and leadership teams; and
- genuine alignment with SHIPS’ commitment to inclusive, affirming and trauma-informed services.
Previous experience as an Office Manager, Practice Manager, Administration Manager or in a similar role within a psychology, allied health, healthcare or another values-driven service environment would be highly regarded.
