Underpinned by an ambitious growth strategy, Willowtree Planning is looking to appoint an Accounts Officer / Bookkeeper in our North Sydney office.
You'll own the day-to-day accounting across the Willowtree group's entities in NSW and QLD. You'll keep Xero reconciled, run accounts payable and receivable, process payroll, and play a central part in the monthly close.
The role runs on a clear daily, weekly and monthly rhythm, and you'll work closely with our Managing Director, who will rely on your reporting to make key decisions.
Key Responsibilities:
- Bank reconciliation: Reconcile daily bank feeds in Xero across multiple entities so transactions stay current and accurately coded.
- Accounts payable: Process supplier invoices and payments, and prepare the weekly supplier pay run for management review.
- Accounts receivable and invoicing: Run client invoicing, reconcile incoming payments, and follow up on overdue accounts.
- Expense and credit card management: Coordinate receipt collection from cardholders, chase outstanding receipts, and code card transactions.
- Intercompany accounting: Manage cross-company invoicing, on-charges and intercompany loan reconciliations.
- Cash flow reporting: Prepare a weekly cash and invoicing summary for senior leadership.
- Payroll: Reconcile staff leave, prepare and process monthly payroll, and allocate payroll expenses across entities.
- Month-end close: Support the group close, including depreciation, hire-purchase interest, ATO account reconciliations and the month-end pack.
- Management reporting: Draft monthly management reports for each entity to fixed review deadlines.
- Stakeholder communication: Liaise with staff, managers and directors on finance queries, and help build good habits around processes like receipt submission.
About you:
- A qualification in accounting, bookkeeping or a related field, or equivalent practical experience in an accounts or finance role.
- Confidence using Xero day-to-day, including bank reconciliations, coding, reporting and pay runs.
- Experience across more than one entity, including intercompany transactions, on-charges and loan reconciliations.
- Hands-on payroll experience, including leave reconciliation, and a working understanding of Australian payroll obligations.
- Familiarity with month-end processes such as depreciation, ATO account reconciliations and preparing reports for review.
- You work well to a fixed weekly and monthly rhythm and keep things moving without close supervision.
- Strong attention to detail: you notice when something doesn't add up.
- You're comfortable following up with colleagues in a friendly but persistent way, and explaining finance processes clearly to non-finance people.
- You raise issues early and enjoy working closely with directors and senior leaders.
It would be great if you also have:
- Experience in a consultancy or other professional services firm.
- A track record of managing debtor follow-up and improving collection times.
- An interest in improving finance processes.
