Medical Secretary / Administrator – Part-Time Position

An exciting opportunity exists for an experienced, highly organised and personableMedical Secretary / Medical Administratorto join our team atOKKO Eye Specialist Centre.
We are looking for a motivated and professional team player who enjoys working in a busy specialist medical environment and takes pride in providing excellent patient service and high-quality medical administration.
This is a permanent part-time position workingTuesday, Thursday & Friday 7:30 am to 5:00 pm, across ourAuchenflower and Mount Gravatt clinics.
The Role
This is a varied role combiningmedical secretarial duties and general medical administration.
Working closely with our ophthalmologists, clinical and administration team, you will help coordinate the day-to-day requirements of our specialists while supporting the efficient operation of the practice and providing an exceptional experience for our patients.
Your responsibilities will include:
Providing a warm, professional and welcoming experience for patients and referrers.
Providing medical secretarial and administrative support to our ophthalmologists.
Managing specialist consultation appointments, procedure bookings and patient schedules.
Coordinating ophthalmic surgery and theatre bookings, including preparing theatre lists and liaising with hospitals, patients and the clinical team.
Answering incoming telephone calls and responding to patient and referrer enquiries.
Managing referrals, correspondence,
medical records and clinical documentation.
Processing patient accounts, Medicare, DVA and private health fund claims.
Coordinating recalls, follow-up appointments and patient communications.
Maintaining accurate and confidential patient information.
Supporting front desk and general practice administration as required.
Working closely with practitioners and the wider OKKO team to support efficient patient flow and continuity of care.
Preparing and settling patient accounts and completing banking and reconciliation as required.
Contributing to the continuous improvement of administrative systems and processes.
Performing other medical administration and ad hoc duties as required.
About You
We are looking for someone who is a professional, personable and highly organised, with a genuine commitment to providing an excellent patient experience.
To be successful in this role, you will ideally have:
Previous experience as aMedical Secretary, Medical Administrator or experienced Medical Receptionist, preferably within a specialist medical or surgical practice.
Strong medical administration skills and a good understanding of medical terminology.
Excellent organisational and time-management skills.
Exceptional attention to detail and a high level of accuracy.
Solid written and verbal communication skills.
A warm, friendly and skilled approach to patients.
The ability to multitask, prioritise and manage competing demands in a busy specialist practice.
The ability to work independently while contributing positively within a collaborative team.
Strong computer literacy and confidence learning practice management software.
A positive, proactive attitude and willingness to learn.
Experience within ophthalmology or another specialist medical practice will be highly regarded.
Experience with Genie, Medicare, DVA, private health fund billing and surgical bookings would also be advantageous.
