ShelfordCampus
Opening in **** in the heart ofCaulfield, Shelford Campus will be Caulfield Grammar School'snewest Junior School.
The campus will initially offer exceptionaleducation for students in Prep and Years 4–6, before growing into afull Prep to Year 6 Junior School.

TheRole
This is an exciting opportunity tosupport the vibrant co-curricular programs of our new ShelfordCampus and help bring Music, Theatre and Sport programs tolife.
Reporting to the Campus Head ofMusic, whilst also having strong relationships with the Campus Headof Sport and Performing Arts Teachers, the Arts Administrator willprovide comprehensive administrative support across the Music andTheatre programs, ensuring the smooth coordination of activities,events, communications and operational processes.
Whilst the roleis predominantly supporting the Arts, the successful candidate willalso support the Junior School Sports program i.
Working closelywith staff, students, parents and external partners, you will playa key role in creating exceptional co-curricular experiences thatenrich student learning and engagement.
You will be responsible forcoordinating calendars, maintaining databases, managing bookings,supporting events and productions, administering budgets andensuring clear communication across the campus community.
The rolerequires strong organisational skills, attention to detail and aproactive approach to supporting a dynamic and growingco‐curricular program.




As a founding member of the ShelfordCampus team, you will help establish efficient systems, fosterstrong relationships and contribute to a culture where students areencouraged to participate, perform, compete and thrive through abroad range of co-curricularopportunities.
This is full time, ongoingopportunity (8am - 4pm) across 41 weeks per year, predominantlyaligned with the Schools term-time calendar.
KeyResponsibilities:
Provide administrative supportto the Music, Theatre and Sport programs across thecampus.
Coordinate and communicateco-curricular events, activities and schedules through sharedcalendars and communicationplatforms.
Support the administration ofdepartmental budgets, invoices and financialprocesses.
Work collaboratively with theOffice Manager and Daily Organiser to support campusoperations.
Act as a key point of contactfor students, parents, staff and external providers regardingco-curricular programs.
Coordinate room bookings,scheduling and resource allocation to support Music, Theatreand Sport activities.
Support the administration ofmusic examinations, instrumental programs and associatedenrolments.
Prepare and distributecommunications, documentation and event information forproductions, performances and co-curricularactivities.
Support ticketing,administration and logistics for campus productions andevents.
Maintain accurate databases,records and reporting systems relating to student participationand program delivery.
Manage online content,timetables and program information to ensure stakeholders haveaccess to current and accurateinformation.
Foster positive relationshipswith students, families, staff and external partners whiledelivering exceptional customerservice.
Contribute to continuousimprovement initiatives that enhance campus operations andco‐curricular experiences.

Skills andQualifications:
Employment Working with ChildrenCheck.
Demonstrated administrativeexperience, ideally within an educationsetting.
Experience supporting Music,Performing Arts, Sport or other co-curricular programs will behighly regarded.
Strong organisational, planningand time management skills.
Excellent written and verbalcommunication skills with the ability to engage effectivelywith a range of stakeholders.
Strong customer service andrelationship management capability.
Demonstrated attention to detailand ability to manage multiple prioritiessimultaneously.
Proficiency in Microsoft OfficeSuite.
Experience with student oradministrative management systems such as Veracross or MusicMonitor is highly desirable.
