Job Overview
Our client is seeking an experienced Administrative Coordinator to provide day-to-day administrative and coordination support for an Australian workforce.
The role is primarily focused on administration, documentation, coordination, record keeping, data management, and general business support, with exposure to HR-related administration.
The ideal candidate has strong administrative experience and, preferably, previous exposure to Australian HR or Australian workplace processes. This could include experience supporting Australian employees, managers, HR teams, recruitment, onboarding, employee records, leave administration, employment documentation, or similar HR-related functions.
A dedicated Australian HR background is not essential, but candidates who have worked with or supported an Australian workforce will be highly regarded.
Our client is particularly interested in candidates who have a combination of Robust Administration Experience and Australian HR/Workplace Exposure (for example, candidates who have previously worked as an Administrative Coordinator, HR Administrator, HR Assistant, Recruitment Coordinator, People & Culture Administrator, Operations Administrator, Workforce Coordinator, or Office Administrator). Candidates do not need to be Australian HR specialists; however, previous exposure to Australian businesses, employees, managers, HR processes, or workplace administration will be highly regarded.
Schedule: Monday - Friday, 9:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
- Provide day-to-day administrative support to Australian managers and teams.
- Maintain accurate employee records, databases, spreadsheets, and documentation.
- Prepare and organise contracts, forms, reports, letters, and other administrative documents.
- Coordinate onboarding, offboarding, staff changes, and other administrative processes.
- Manage documentation and follow up on outstanding requirements.
- Assist with scheduling, meeting coordination, correspondence, and general administration.
- Maintain organised digital files and ensure records are accurate and up to date.
- Assist with data entry, reporting, document preparation, and routine administrative tasks.
- Liaise with managers, employees, and other stakeholders to coordinate administrative requirements.
- Provide administrative support for HR-related activities, including onboarding, employee documentation, leave records, and staff changes.
- Assist with recruitment coordination and candidate administration when required.
- Support HR and operational projects as needed.
- Help improve administrative processes, workflows, and documentation.
- Manage competing priorities while maintaining accuracy and meeting deadlines.
Requirements
- Previous experience in administration, office coordination, HR administration, recruitment administration, or a similar support role.
- Experience managing documents, records, spreadsheets, databases, and routine reporting.
- Preferably, experience supporting an Australian business, workforce, manager, or HR team.
- Exposure to Australian HR practices, employment processes, employee documentation, leave administration, or workplace requirements is highly desirable.
- A strong understanding of Australian employment legislation is an advantage but not essential, provided the candidate has relevant Australian HR/workplace exposure and is willing to learn.
- Experience with Employment Hero, HRIS platforms, Microsoft Office, Google Workspace, or similar systems is preferred.
- Must be comfortable having monitoring software installed on a personal computer.
